Executive Assistant

As an Executive Assistant, you will play a critical role in providing high-level administrative support to our leaders and management team. You will be responsible for ensuring the efficient operation of their offices by coordinating schedules, managing information, and handling various administrative tasks. Your contributions will directly impact PLB’s success and the effectiveness of our leadership team.
**What will I be doing?**:
**Coordinate Schedules and Calendars**:
- Manage and maintain CEO and management team’s schedules and calendars.
- Schedule meetings, appointments, and conference calls, taking into account time zones and priorities.
- Anticipate scheduling conflicts and proactively resolve them.
**Communication and Information Management**:
- Act as the primary point of contact between executives and internal/external stakeholders.
- Prepare and edit documents, reports, and presentations as needed.
- Maintain an organised filing system for documents and records.
**Travel Coordination**:
- Arrange and coordinate travel itineraries, accommodations, and logistics for business trips.
- Prepare travel expense reports and reconcile receipts.
**Meeting and Event Coordination**:
- Organise and coordinate meetings, including booking conference rooms, arranging catering, and distributing meeting materials.
- Assist in the planning and execution of corporate events and functions.
**Information Research**:
- Conduct research on various topics to support decision-making and project planning.
- Summarise findings and present relevant information to executives.
**Confidentiality and Discretion**:
- Handle sensitive and confidential information with the utmost discretion and professionalism.
**Task Prioritisation and Time Management**:
- Identify and prioritise tasks based on importance and deadlines.
- Ensure that executives are well-prepared for meetings and appointments.
**Administrative Support**:
- Assist with general administrative tasks such as filing, photocopying, and data entry.
- Perform other duties as assigned to support the executive team.
**What is required of me?**:
- Bachelor’s degree or equivalent work experience.
- Proven experience as an executive assistant or in a similar role.
- Excellent organisational and time-management skills.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Discretion and trustworthiness due to exposure to sensitive information.
- Ability to work independently and as part of a team.
- Adaptability and the ability to handle a fast-paced work environment.
- Knowledge of project management tools and software.
- Previous experience in a similar industry or field.
- Certification in administrative or executive assistant training programs.
