**Academic Medicine implementation**
- Prepare proposals and lead or facilitate initiatives for review by the Academic Medicine Executive Committee.
- Review AM work processes and explore various methodologies to streamline and/or automate routine operations to ensure effective joint frameworks.
- Devise and implement initiatives to improve collaborations internally and externally.
- Serve as Secretariat for AM committees and meetings when necessary.
- Prepare reports and analysis for reporting to senior management.
**Management and Administration of Academic Clinical Programmes (“ACP”) Programme Funding Grants**
- Serve as key lead for domain engagements in particular, Research and the Nurturing Clinician Researcher Scheme (“NCRS”).
- Coordinate & manage grant call.
- Facilitate, coordinate and provide inputs towards budget requests and reviews of proposals.
- Prepare materials for approval at AM EXCO, Academic & Research Committee (“ARC”) & Governing Board (“GB”).
- Monitor progress on milestones completion for funded projects.
- Serve as Point of Contact for “ACPs, SingHealth Duke-NUS Disease Centres (“SDDCs”), AM institutes and domains, as assigned by the Team Lead.
**Management and Administration of AM Philanthropic Funded Grants**
- Work closely with key AM stakeholders, ACPs and AM domains under purview on their donation and philanthropic needs by coordinating the planning, preparation, review and approval of AM proposals.
- Serves as a liaison between JOAM and grant awardees in the budgeting and preparation of grant proposals.
- Reviews grant proposals for alignment with Donor’s Gift Purpose/ Professorships and Academic Medicine strategic directions.
- Facilitate with submission of fund requests in accordance with Duke-NUS policies and NUS Endowment statutes. Draft papers and presentations for seeking approvals from AM EXCO, Duke-NUS ARC and GB for fund disbursements.
**AM Grant Administration for reporting**
- Oversee administration of post-award grants to ensure that timelines, objectives, budgeting and administrative policies and procedures are followed.
- Serve as an advisory role to stakeholders, advise on and facilitate with grant variations/ extensions requests to ensure strong governance and optimisation of funds utilisation.
- Facilitate the submission of such requests for approval.
- Assist in compilation of AM Philanthropic Funded Grants Progress Reports.
- Ensure project progress, outcomes and financial reporting by ACPs/Joint Institute, awardees and Host Institutions are duly completed and submitted.
**Management and Administration of Talent Awards**
- Serve as Lead POC to manage the PhD Scholarships to give recognition and support to clinician researchers, while engaging the AM community.
- Contribute as part of the team to support the administration of Resident Research Scholar Award to engage SingHealth residents who are actively engaged in research.
- Promote call for nominations through necessary communications platforms.
- Recognise Awardees and stakeholders.
- Coordinate inter-team collaboration to organise the annual Research Awards Day/ Ceremony and coordinate across teams in JOAM APMD and broader OAM when necessary.
**Student Initiatives & Grants: SingHealth Medical Student Talent Development Awards and AM-ETHOS Duke-NUS Medical Student Fellowship**
- Contribute as part of the team to manage the SingHealth Medical Student Talent Development Award and AM-ETHOS Medical Student Fellowship (“MSF”).
- Contribute as part of the inter-team collaboration for engagement of medical students and their mentors through events such as MSF orientation, Learning Enhancement and Progress (“LEAP”) Award and PGY1 engagement session (in partnership with SingHealth Residency).
**Others Ad hoc duties as assigned**
- Assist with the overall administrative management of a variety of business-related functions.
- Assist with the planning and execution of departmental events and projects.
- Perform other related duties incidental to the work described herein or as assigned by the supervisor.
**Job Requirements**
- Bachelor’s Degree or equivalent with minimum 3 to 5 years of relevant experience.
- Prior experience in managing grants/funds, research projects and/or faculty matters.
- Have strong track record of stakeholder management and drive multi-faceted projects with good outcomes.
- Possess good organisational skills and abilities to carry out analytical and coordination work.
- Have strong team orientation and able to relate and engage senior staff, sensitive to cultural nuances.
- An energetic, self-driven, highly emotional and adversity quotient individual who is meticulous and able to multi-task.
- An independent worker who is also a team player and strong collaborator who possess the initiative to complete tasks and projects assigned.
- Possess excellent command of written and spoken English.
