**Job Specification**:
- Qualification: Diploma in Business or Equivalent
- Prior working in a nursing home
- Able to work 5.5 days work week **(Alternate Saturday)**:
- Work location: Lengkok Bahru / Senja Road
**Job Scope**:
Support Administration Manager in the day-to-day management of the reception; administration; others’ supporting duties
**Job functions:
**Reception**
- Receive, answer and transfer calls.
- Take down messages if the recipient is unable to take the call
- Attend to visitors ad handle inquiries
- Manage the auto-gate intercom system
- Manage the public address system
- Open the letter box every day
- Re-direct incoming and outgoing mails/faxes Maintain a good filing system and records.
**Housekeeping and Laundry**
- Handle the admission, discharge, booking, and coordination of transport for the residents
- Ensure that the residents’ records are updated and properly maintained
- Coordinate with the Nursing Department for the services and consumables required and used by the residents and ensure that all these items are keyed into the Nursing Home Information System
- Ensure all charges keyed into the Nursing Home Information System are correct before generating invoices
- Send out invoices and monitor accounts receivables
- Coordinate with the Nursing Department and the Supplier for meal ordering
- Coordinate laundry services
- Provide administrative support to the Nursing Department
**Office Operations**
- Responsible to the keys movement in the key-press
- Responsible for the maintenance and operations of the central audio-visual system; security and CCTV systems and fire safety equipment
- Responsible for the housekeeping and cleanliness of the Home
**Material Management**
- Issue supplies to staff
- Maintain proper records of the movement of stock/inventory of the home.
- Ensure that all supplies are sufficient
- Raise purchase requisitions and purchase orders
- Check supplies to ensure that stocks are not expired
- Conduct half-yearly stock-taking for inventory and fixed assets
- Maintain cleanliness of the store-rooms.
