**Job Scope**:
- Provide support in general office and project site administrative matters
- Oversee daily operations, including flight booking, course registration and dormitories’ arrangement
- Responsible for certain administrative work that related to site project
- Responsible for licence renewal and ISO audit
- Handle Application/renewal/cancellation of Work Permit
- Oversee general office operations, including managing office supplies, equipment, and pantry supplies
- Order office suppliers and keep an inventory of stock (pantry supplies and stationery)
- Handle daily administrative tasks, including prepare memo, minutes meeting and monthly report
- Handling daily administrative tasks, such as filing, generating reports, maintaining updated records of documents
- Welcoming and greeting guests, visitors or supplier
- Assist with financial tasks, including invoicing clients, tracking expenses, and processing payments.
- Collaborate with the finance department to ensure accurate financial records.
- Maintain confidentiality around sensitive documentation
- Liaise with and distribute project-related information with all levels of the project team.
- Handle engineering and internal change requests and notice
- Plan, coordinate, and execute conferences, seminars, and other events to employee as per management request
- Assist in organizing corporate event (D&D and team bonding event)
- Stay informed about industry trends, market conditions, and emerging issues
- Conduct research and analysis to provide valuable insights to management
- Undertake any other ad-hoc related duties as assigned
**Job Requirement**:
- Preferred at least 5 year working experiences
- Previous experience in operation and administration is preferred
- Proficient in MS Office skills, Microsoft Office; Word, Excel and PowerPoint
- Integrity in handling confidential information
- Excellent time management and organizational abilities
- Well managing task and able to work under stress
- Ability to communicate effectively and professionally
- Take initiatives, possess a strong sense of urgency and able to prioritize and meet deadlines
- Attention to detail and accuracy in record-keeping
- Fast learner with a willing-to-do attitude and multitasking abilities.
- Able to commit standby after office hours to attend to clients calls will be a plus
- Able to start immediately will be advantageous
- 6 days work week
