Central Region, Singapore WOER INTERNATIONAL (SINGAPOER) PTE. LTD. Full time $40,000 - $80,000 per year

Job Overview

We are seeking a proactive, meticulous, and efficient General Affairs Specialist. You will be the central hub for our Singapore office operations, taking full responsibility for daily operational and logistical tasks encompassing sales support, customer service, finance, and HR & administration. Additionally, you will be required to provide necessary logistical support to our Malaysia branch when needed. This is a highly challenging role offering comprehensive growth, and we look forward to a multitasking, communicative problem-solver joining our team.

Key Responsibilities

1. Sales Support & Customer Service

(1) Process sales orders, track order status, and communicate progress to customers and internal teams promptly.

(2) Coordinate with logistics and warehouse teams to ensure timely and accurate product delivery.

(3) Serve as the first point of contact for customer inquiries, providing professional support via email and phone.

(4) Maintain the customer database, handle customer feedback and complaints, and follow through to resolution.

2. Finance Operations

(1) Handle daily accounting, including accounts receivable, accounts payable, and the review & recording of expense claims.

(2) Manage financial reporting, including liaising with auditors for the timely issuance of annual audit reports, and preparing monthly/quarterly financial statements with basic data analysis.

(3) Process fund-related operations, including handling company bank account matters, processing payments, and following up on collections.

(4) Handle tax-related matters, including corporate and employee income tax filings.

(5) Manage invoice issuance, and organize & safeguard all financial documents and vouchers.

3. HR & Administrative Affairs

(1) Perform comprehensive administrative and logistical duties, including office maintenance, asset & equipment management, stationery procurement, and courier services.

(2) Execute local recruitment processes, manage employee onboarding/offboarding procedures, and maintain/update employee files and records.

(3) Coordinate employee attendance and leave records, and follow up on payroll calculation and processing.

(4) Organize company internal meetings and team-building activities, and take meeting minutes for follow-up.

(5) Act as the Office Safety and Health Coordinator, ensuring compliance with local regulations.

4. Other Duties

Handle other related tasks assigned by company leadership or group headquarters.

Qualifications

1. Basic Requirements

(1) Bachelor's degree or higher. A background in Finance, Accounting, or a related field is preferred.

(2) Minimum of 1 year of experience in a similar multi-functional role.

(3) Possess basic knowledge of local labor laws, finance, tax regulations, and other relevant laws and regulations in Singapore.

(4) Excellent communication skills (written and verbal) in Chinese, English, and Malay.

(5) Proficiency in Microsoft Office Suite (especially Excel and Word).

(6) Possess strong communication and coordination skills, proactive work attitude, a strong sense of responsibility, attention to detail, and the ability to solve problems independently.

2. Preferred Qualifications:

(1) Experience supporting or understanding Singapore operations.

(2) Familiarity with common accounting software or ERP systems.

(3) 作为客户咨询的第一联络点,通过邮件、电话等方式提供专业的客户支持。

(4) 维护客户数据库,处理客户反馈和投诉,并跟进至问题解决。

2. 财务工作

(1) 处理日常账务,包括应收账款、应付账款、费用报销审核与登记。

(2) 负责财务相关报告与报表事宜,包括与事务所沟通按时出具年度审计报告,进行月度、季度财务报表的编制与基础数据分析。

(3) 处理资金相关业务,包括公司银行账户相关事务处理,办理付款经办及跟进收款等。

(4) 处理与税务相关的工作,包括公司及公司员工个人税务申报等。

(5) 负责发票开具、整理及保管所有财务文件和凭证。

3. 人事与行政事务

(1) 执行全面的行政后勤工作,包括办公环境维护、资产设备管理、文具采购、快递收发等。

(2) 执行当地公司人员招聘工作,办理员工入职、离职手续,维护员工档案和信息更新。

(3) 协调员工考勤、休假记录,跟进薪资计算及发放事宜。

(4) 组织公司内部会议、团建活动,并做好会议记录与跟进。

(5) 担任办公室安全与健康协调员,确保符合当地法规要求。

4. 其他事项

处理公司领导或集团总部安排的其他相关工作。

任职要求

1. 基本条件

(1) 本科及以上学历,财务、会计或相关专业背景优先。

(2) 至少1年以上类似多职能岗位的工作经验。

(3) 具备新加坡当地的劳动法、财务、税务基本规定及其他相关法律法规相关知识。

(4) 具备出色的中文、英文、马来语沟通能力(书面和口语)。

(5) 精通Microsoft Office套件(特别是Excel和Word)。

(6) 具备良好的沟通协调能力,工作积极主动,责任心强,注重细节,并具备独立解决问题的能力。

2.优先考虑条件:

(1) 有支持或了解新加坡运营事务的经验。

(2) 熟悉常用的财务软件或ERP系统。
