Key Responsibilities:
Purchasing Duties:
  • Source and negotiate with suppliers for the best prices, quality, and delivery terms.
  • Prepare and process purchase orders (POs) and ensure timely procurement of goods.
  • Monitor stock levels and coordinate with suppliers to maintain optimal inventory.
  • Compare pricing, terms, and delivery schedules across multiple vendors.
  • Verify incoming shipments against purchase orders and resolve discrepancies.
  • Maintain good relationships with existing suppliers and explore new vendor opportunities.
  • Ensure compliance with company procurement policies and procedures.
Administrative Duties:
  • Handle office administrative tasks, including documentation, filing, and data entry.
  • Assist in preparing reports related to purchases, expenses, and inventory.
  • Coordinate with internal departments to ensure smooth procurement and operations.
  • Manage correspondence, emails, and phone inquiries related to purchasing.
  • Support general office management, including ordering office supplies and maintaining records.
  • Assist in preparing invoices, delivery orders, and payment processing coordination.
Requirements:
  • Diploma/Degree in Business Administration, Supply Chain, or a related field.
  • Minimum 1-3 years of experience in purchasing, procurement, or administrative roles.
  • Strong negotiation and communication skills.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Ability to work independently and handle multiple tasks effectively.
  • Detail-oriented with strong organizational skills.
    Experience in [industry-specific experience, e.g., beauty, manufacturing, FMCG] is a plus.
