Overview

We are seeking a detail-oriented and proactive Administrative Assistant to support the daily operations of our security agency. The role involves handling administrative tasks, assisting with licensing and compliance matters, coordinating with staff, and ensuring smooth communication between management, officers, and external stakeholders.

Key Responsibilities
  • Provide general administrative support including data entry, filing, document preparation, and correspondence.
  • Manage schedules, appointments, and meetings for management and supervisors.
  • Assist in processing applications, renewals, and notifications required by regulatory bodies (e.g., PLRD, MOM, ACRA).
  • Maintain accurate records of employee information, training schedules, licenses, and certifications.
  • Support payroll and claims administration, including attendance tracking and leave records.
  • Liaise with security officers, clients, and vendors to ensure timely communication and resolution of queries.
  • Prepare reports, memos, and presentations for management review.
  • Assist in onboarding of new security officers and maintain HR-related documentation.
  • Ensure compliance with company policies and government regulations.
  • Perform other administrative and support duties as assigned by management.
Requirements
  • Minimum GCE 'O' Level / Diploma in Business Administration or equivalent.
  • At least 1–2 years of administrative experience; experience in the security industry is an advantage.
  • Familiarity with regulatory requirements of the Private Security Industry in Singapore (PLRD regulations) preferred.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and basic IT skills.
  • Strong organizational skills, attention to detail, and ability to multitask.
  • Good communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
