Responsibilities:

  • Prepare and issue Delivery Orders (DOs), Invoices (including Down Payment and Tax Invoices), and Credit Notes
  • Ensure all billing documents are accurately generated in alignment with Customers' Purchase Orders (PO) and Sales Orders (SO)
  • Generate and manage shipping documentation such as Delivery Orders, Commercial Invoices, Packing Lists, and Safety Data Sheets (SDS)
  • Coordinate logistics and delivery arrangements with Freight Forwarders and Courier Services to ensure timely shipment
  • Prepare and verify shipping labels and markings in accordance with customer or regulatory requirements
  • Liaise with customers to obtain all necessary export-related documentation, including official vessel stamps, sub-certifications, and export permits required for GST submission
  • Issue AR Receipt Vouchers upon payment receipt
  • Verify and file supporting documents such as Telegraphic Transfer (TT) advice and other payment proofs
  • Making travel arrangements (flight and accommodation bookings) when required
  • Organizing courier pickups and deliveries
  • Managing incoming mail and ensuring proper distribution to relevant departments or personnel
  • Perform other ad-hoc administrative duties as assigned by management

Requirements:

  • Minimum GCE 'O' Level qualification or equivalent
  • Proficient in Microsoft Office applications
  • Strong attention to detail with a high level of accuracy in data handling and documentation
  • Excellent time management and multitasking abilities to handle competing priorities effectively
