Job description

  • Develop and maintain standardized media contract templates for consistency and compliance.
  • Ensure accurate recording of contract details, media rates, and bookings in the internal contract management system in line with company policies.
  • Collaborate closely with the sales team to verify inventory availability before confirming bookings.
  • Review and ensure accuracy of all submitted media confirmations.
  • Oversee the full process of contract creation and booking administration for the media team.
  • Manage contract lifecycle activities, including reservations, amendments, cancellations, and compensation agreements.
  • Perform final verification of signed contracts prior to campaign execution.
  • Monitor upfront payment requirements and follow up on any outstanding payments.
  • Ensure internal approvals are obtained for unsigned agreements before campaign commencement.
  • Assist with the setup and maintenance of media inventory, formats, and packages within the internal system.
  • Maintain administrative records across contract, billing, and campaign modules.
  • Conduct internal training on contract systems and tools to enhance user adoption and process consistency.
  • Support access and service request processes related to system permissions and digital services.
  • Contribute to ad-hoc tasks and special projects as assigned by management.

Requirement

  • Minimum diploma in any discipline, preferably from a polytechnic.
  • Prior experience in administrative support is advantageous.
  • Basic proficiency in Microsoft Excel; familiarity with PivotTables and VLOOKUP will be a plus.
  • Strong attention to detail and good organizational skills.
  • Able to work independently and collaborate with cross-functional teams.
  • Good communication skills, both written and verbal.
  • Willingness to learn and adapt to internal systems and processes.
