GoImpact is seeking a competent and proactive Personal Assistant / Administration Officer who is passionate about Environmental, Social and Governance (ESG) and is ready to delve into a fast-paced, real-world environment. As an Administration Manager, you will assist the Co-Founders, CEO and COO in administrative / secretarial tasks and will take responsibility for the establishment, running and growth of our office.
**Duties & Responsibilities**:
- Manage a full spectrum of office administration duties, including but not limited to office management, facilities management, leasing negotiation and renewal, HR administration, repair and maintenance and correspondence follow-up in order to ensure smooth office operations to support the rapid growth and development of the Company.
- Coordinate HR procedures and systems and devise ways to streamline processes including payroll, MOM, CPF, IRAS, recruitment, training and development and employee relations.
- Perform secretarial duties to support the CEO and COO.
- Responsible for the procurement of office supplies and office equipment.
- Responsible for corporate insurance, contract renewal and travel arrangements.
- Take the lead in formulating and implementing office administration policies and guidelines.
- Participate in government or statutory board related surveys and company audit.
- Regular co-ordination with the CEO, COO and management team in Hong Kong.
- Manage schedules and deadlines.
- Ensure business operations adhere to Company policies and regulations.
- Keep abreast with all organizational changes and business developments.
- Handle ad-hoc projects / tasks as assigned.
**Key to your success in this role will be**:
- 4+ years’ relevant working experience as a personal assistant or administration officer with a demonstrable history of proactive administration.
- Good knowledge of Employment Act, HR practices and statutory regulations.
- Ability to follow instructions and work independently when necessary.
- Excellent work ethic and open to feedback.
- Must be organized in file handling and upkeep.
- Detailed oriented, proactive, resourceful with the ability to multi-task and maintain strict confidentiality of information.
- Self-motivated, friendly demeanour, people person and a good team player with a strong sense of responsibility.
- Strong communication, interpersonal and organizing skills, matured and independent.
- Fluency in English is essential with other regional languages.
- Possess hands-on experience using Xero and HREasily would be a bonus.
- Able to thrive in start-up environment.
- Basic Knowledge of ESG & Sustainability preferred, but not necessary.
- Able to start immediately would be highly advantageous.
