Singapore OFFICE SECRETARIES PTE. LTD. Full time

**Main responsibilities**
- Provide comprehensive secretarial and administrative support functions for fee-earners which includes (but not limited to):

- Document management & production:

- including opening and closing of files, binding, production of bundles
- proofreading, and ensuring formatting is per the Firm's 'house-style'
- Diary management for partners and fee-earners as required, including scheduling of appointments and travel arrangements using the Firm's travel provider
- Preparation of bills using EA Pro/Expert Aderant
- Coordinate and prioritize work in accordance with the needs of the business and client requirements, and at all times ensuring a timely and well-prepared turn-around on work
- Be the 'back-up' support to the other legal secretary in the group, providing assistance on high volume work as well as during any periods of leave (note that this is a reciprocal relationship)
- Undertake any other tasks or duties as may reasonably be expected within the scope of the role and the practice group, including attending any team &/or Firm meetings (where relevant)

**Attributes / skills required**
- Minimum three (3) years of proven legal secretarial experience required
- Collaborative by nature and able to anticipate team's and client's needs quickly and efficiently
- Proactive with the ability to work independently and under pressure in a fast-paced environment
- Highly proficient in MS Office suite with strong document formatting skills
- Familiarization with legal technology, document management systems as well as billing systems (exposure to Aderant Expert is desirable)
- Professional interpersonal and communication (both verbal and written) skills are essential
- Meticulously organized and able to hold a high level of discretion and tact
