Admin 2 - Internal Admin (Inventory, Support & Worker Focus)

Reports to: Project Manager / Directors

Main Focus: Internal coordination, stock, HR, and administrative support

Key Responsibilities:
1. Stock & Inventory
- Order and monitor usage of consumables, parts, and tools
- Maintain van/lorry stock inventory list
- Check with technician weekly for restocking needs

2. Worker Support
- Track workers’ attendance and daily job assignment
- Handle welfare items (drinks, rest days, basic HR support)
- Update worker list, permits, and expiry dates

3. Office & Vehicle Admin
- Maintain records of van/lorry use, fuel, servicing
- Track office inventory: toner, stationeries, forms, etc.
- Prepare and file all necessary documents for audit or reference

4. Admin Support
- Assist in document prep for invoicing or submission
- Filing of service reports, receipts, and job orders
- Follow up with vendors (e.g. stock delivery, minor servicing)



Shared / Backup Responsibilities (Both Admins)
- Take over call duties when one is on leave or busy
- Cross-check each other’s case logs and filing weekly
- Support PM with scheduling, reporting, or ad-hoc tasks
- Support in preparing monthly invoice pack for Accountant
