Job Responsibilities
Manager Folder Reports Updating- Updating of Checkbook, Expenses & Revenue manager's folder, Monthly Summary spreadsheet, TM's leave, lateness and request spreadsheet, ISO folder, Training Calendar- Setting of Smart Goal & KPIs
Daily Operations- Prepare/plan monthly roster & ensure it's been published in VR- Update the VR is there're any changes- Monitoring of day-to-day operations- Supervision of on-site operations during events- Deployment of traffic marshalling for events- Follow up on ISO Action Plan- Daily P&L- Monitoring and submitting of Daily P&L- Time Manager- Daily Rounds-Twice daily- General admin work for MSO & LOG- Check occurrence book & MSO night shift report daily- Monitoring & checking of B2 to L1 Expo Halls- Daily Updates of whiteboard in MR
Overtime Reporting- Understanding Overtime Policy- Raise Overtime Payout- Raising Payroll Correction Request Form
Standard Operating Procedures & Training Manual- Creates New SOP- Updating Existing SOP- Updating Training Manual
Departmental Training- Train new TM- Conduct Quarterly training- Registering TM for external trainings procedures
Monthly Rostering & Leave Request- Familiarise & understand with Time Manager procedures- Familiarise & understand with VR procedures- Approve Time Manager- Approve Leave request- Draft & publish monthly roster
Others- Familiarise with the nature of major events, requirements & things to take note- To assist with add-on jobs
Job Requirements
Education & Certification- Degree qualification preferred
Experience- Valid Forklift Driver license will be an advantage- 7-10 years Logistics experience in venue Logistics or experience within the industry- Management experience in on-site operations logistics for Exhibitions.
Other Prerequisites- Ability to work with minimum supervision.- Ability to multi-tasks and work under pressure.- Get along with fellow Team Members/other Departments and work as a team.- Be willing to work any day of the week and any shift, long hours when necessary.- Positive attitude, self-motivated with lots of initiative.- Possess excellent interpersonal, customer services and communication skills.- Meet the attendance guidelines of the job and adhere to Departmental and Company policies.- Work with internal management and Team Members, as well as outside support, to develop and maintain a continuing atmosphere of peak comfort and safety.- Able to interact and communicate with all levels of staff and management.- Able to respond immediately to all emergency situations and calls.- Handle stressful situations. Respond calmly and make rational decisions when handling conflicts.- Be familiar with all policies and procedures affecting the Department.- Mature disposition, and have a well-groomed, professional appearance.
