**Job Description**:
**Get to know the Role**:
The Travel Coordinator would be responsible for the arranging and booking of travel and accommodation for a Senior Executive from our most senior leadership platform.
Reporting to the Personal Assistant, the Travel Coordinator will need to ensure that all bookings are made in accordance with Grab’s policies and guidelines and provide efficient assistance to the Senior Executive on all travel-related matters. You will need to manage expectations on travel matters and to provide accurate, complete and timely processing of all flights and accommodation bookings. You may also be required to undertake ad hoc administrative tasks within the department, i.e., preparing and submitting expense claims, managing the Senior Executive’s professional and personal schedules.
**The day-to-day activities**:
- Completes a broad variety of professional and personal administrative tasks for the Senior Executive including:
- Arranging complex and detailed travel plans, itineraries, and agendas
- Compiling documents for travel-related meetings
- Preparing and submitting of expense claims
- Managing an extremely active, dynamic calendar of internal & external appointments
- Completing expense reports
- Composing and preparing confidential correspondence
- Plans, coordinates and ensures the Senior Executive’s professional and personal schedules are followed and respected.
- Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Senior Executive's time and the Senior Executive’s office.
- Communicates directly, and on occasion on behalf of the Senior Executive, with internal and external stakeholders.
- Researches, prioritises, and follows up on incoming issues and concerns addressed to the Senior Executive, including those of a sensitive or confidential nature. Determines appropriate course of action or response.
- Builds relevant relationships crucial to the success of the office and the larger organization; handles internal and external communications with finesse and diplomacy.
- Successfully completes critical aspects of deliverables with a hands-on approach, including: drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Senior Executive’s ability to effectively execute on his / her tasks.
- Prioritises conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
**The must haves**:
The Travel Coordinator must be creative and enjoy working within a highly dynamic, entrepreneurial environment that is mission-driven. The individual must have the ability to exercise good judgement in a variety of situations, and should exhibit strong written and verbal communication, administrative, and organisational skills, as well as the ability to maintain a realistic balance among multiple competing priorities. The Travel Coordinator must be able to work under pressure at times to handle a wide variety of confidential matters with utmost discretion.
- At least 3 years’ of corporate or retail travel experience
- Knowledge of products including car hire, hotels and rail
- Domestic & International destination/geographical knowledge
- Good “can do” attitude, meticulous, excellent prioritisation skills, multitasking abilities and takes pride and initiative in her/ his work
- High level of discretion, strong sense of accountability, self-motivated, good sense of business/ cultural priorities and nuances
- Detail oriented, discretion, commitment to keep information confidential.
- Fluent in written and spoken English
- Language proficiency in another Southeast Asian language will be highly preferred.
- High attention to detail and well-organised.
- Possess excellent time management with a sense of urgency.
- Ability to handle ambiguity, cross functional collaboration and navigate complex matrix environment
- Ability to adapt and thrive in fast-pace, challenging and dynamic environment
- Ability to work closely with all levels of management and staff, and a strong team player
