**JOB SUMMARY**

The Gallery Assistant serves as a key administrative and executive support role to the Gallery Manager and Owner. This position is responsible for ensuring the smooth and efficient management of their day-to-day affairs by providing high-level administrative and secretarial support. The role requires handling sensitive and complex matters with professionalism, discretion, and sound judgment.

The Assistant is expected to take initiative where appropriate, particularly in the absence of the Director, and must demonstrate a high degree of creativity, independence, and adaptability.

**Working Hours**:
5-day work week, including 4 weekdays and 1 weekend day.
(Weekdays: 11:00 AM - 7:00 PM, Weekends: 12:00 PM - 6:00 PM)

**Key Responsibilities**
- Provide comprehensive administrative support to the Directors and Owner to ensure the smooth operation of daily activities.
- Manage correspondence with artists, clients, and vendors on behalf of senior administrative staff.
- Act as the secondary point of contact (Second-in-Command) for projects led by Gallery Directors.
- Support the Finance Department in tracking and collecting payments from clients.
- Conduct personalized VIP tours for clients, artists, museum curators, scholars, and other special guests.
- Ensure a welcoming and professional environment for all visitors by maintaining gallery cleanliness, preparing accurate price lists and artist information, and offering engaging gallery tours.
- Foster long-term relationships by converting first-time visitors into repeat clients.
- Maintain an up-to-date and comprehensive client database.
- Develop and nurture client relationships to ensure thorough and effective engagement.
- Provide daily updates to the Gallery Director on client interactions and general business activity.
- Maintain an organized and accessible filing system for both digital and physical records.
- Manage inventory and procurement of office supplies.
- Offer general assistance and a welcoming presence to gallery visitors.
- Respond to routine inquiries and provide accurate information as needed.
- Perform day-to-day administrative tasks including filing, document preparation, copying, binding, and scanning.
- Handle confidential and sensitive information with discretion.
- Supervise and guide junior administrative staff to ensure efficient workflow.

**Requirements**:

- Possessing a diploma or postgraduate degree, preferably in Art, Art History, or Arts Management.
- Strong interest in and sound knowledge of Southeast Asian art history.
- Deep appreciation and thorough understanding of the artists represented by the Gallery.
- Excellent organizational, project management, and interpersonal skills.
- Ability to work both independently and collaboratively within a team.
- Able to perform under pressure and manage demanding client expectations.
- Comfortable in a client-facing, in-person role.
- Ability to handle confidential and sensitive information with discretion.
- Willing and able to work on weekends and attend after-hours events as required.
- Travel will be required for the role.
- Capable of handling moderate physical tasks on a daily basis.
- Consistently punctual and reliable across all responsibilities.
