**Job Summary**:
We are seeking a highly organized, proactive, and discreet Personal Assistant & Administrative Executive to support our Vice President. This role is critical in ensuring the VP’s day-to-day operations run smoothly, through effective calendar management, administrative support, and coordination of key business activities.
**Key Responsibilities**:
**1. Executive Support**
- Manage and organize the VP’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare agendas, briefing materials, and minutes for meetings.
- Coordinate internal and external meetings, ensuring all logistics are in place.
- Handle confidential information with integrity and discretion.
**2. Administrative & Office Support**
- Provide general administrative support such as filing, data entry, document preparation, and expense claims.
- Support coordination of departmental activities, including team meetings, events, and presentations.
- Liaise with stakeholders, clients, and team members on behalf of the VP.
- Track deadlines and follow up on action items.
- Maintain and organize documents and records both digitally and physically.
**3. Travel & Logistics**
- Arrange travel itineraries, accommodation, and transportation for the VP and, when needed, for team members.
- Prepare and reconcile travel expense reports.
**4. Project Coordination (as required)**
- Assist with coordination of departmental projects or initiatives under the direction of the VP.
- Conduct research, compile reports, and support with presentation materials.
**Requirements**:
- Proven experience as a PA, EA, or in an administrative role supporting senior leadership.
- Excellent communication and interpersonal skills.
- High level of discretion and professionalism.
- Strong organizational skills with attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multitask, prioritize effectively, and work independently.
- Diploma or Degree in Business Administration or related field preferred.
