Obtain shipping schedules from the logistics agent to allow manager to determine which mode and timeline is appropriate.
- Co-ordinate with shipping agents and book in-bound and/or out-bound shipments via various modes in a timely manner (sea/ air/land) upon manager’s approval.
- Needs to have an understanding of which countries are carnet and non-carnet based.
- Needs to maintain good relationship with the shipping agents and SICC.
- Prepare and submit final packing lists to the shipping agent for customs procedures.
- Print labels for every outbound shipment.
- For carnet-based shipments, needs to prepare carnet documents.
- Coordinate between SICC and the shipping agent to endorse original carnet for submission and approval, in timely manner.
- Communicate internally and externally for carnet deposit fund arrangement and its safety return to the company upon return of the shipment.
- Upon collection of the cargo, constantly monitor the shipments and keep communications with internal and external parties till the completion of the delivery is done on a stipulated deadline.
- Track, trace, and update excel log on the status of incoming and outgoing shipments.
- File and Achieve online the completed full set documents (Permits, carnet documents, packing lists, AWBs for each shipment)
- Generate booking of the courier shipments online.
- Obtain quotes for all inbound and outbound courier shipments under NEP account.
- Inform other departments (Engineering, Repair Administrator, and Warehouse) about the shipping deadlines / arrivals.
- Send the final packing list to the Unit Manager/Guarantee Engineer prior to receiving the shipment on site.
- Monitor and update the status of all shipment in transit and notify operations and respective onsite project Unit Managers.
- Immediately raise issues on any unplanned changes or issues in the logistic arrangements and movements.
- Ensure of correctness of shipping invoices against the quotation and verify any discrepancies before handing over to the Manager for approval.
- Communicate with oversea shipping agent for returning the shipment back to base.
- Handle communication, negotiation, documentation and follow-up for freight claims of goods lost or damaged in transit.
- Arrange necessary shipment/delivery for emergency replacement of the equipment during production phase.
- Be aware of the discrepancy report for incoming shipments, and take necessary follow-up actions under the Manger’s supervision.
- Handle logistic needs of the company after office hours, over the weekend and on public holidays when required.
- Assist in other operational areas such as inventory and repair administration as and when require.
- Perform any ad-hoc duty as assigned.
**Requirements**:
- Higher Nitec/ Diploma in supply chain management or any related area
- Proficient in Microsoft Excel
- High attention to details
- Good communication skills
- Ability to multi task, handle stress and work in a fast-paced work environment
- Good time management and strong organisation and record keeping skills
- Positive attitude, team player and eager to learn
- Training will be provided
- Able to start within short notice
- Maintains a clean, neat, and work-ready area.
