**About Department and Purpose of the Position**

The Executive Secretary is to provide secretarial and administrative support to the Senior Management Office.

**Key Responsibilities**
- Provide full secretarial support to the CEO
- Calendar scheduling
- Medical claims
- Maintain and update the curriculum vitae, clinical publications, professional memberships, licenses and certificates
- Maintain filing system
- Provide full administrative support to the Executive Office
- Coordinate and set up meetings
- Data collation, preparation of presentation slides, reports and documents
- Make arrangement for overseas travel
- Organize engagement events
- Handle in-coming an out-going correspondences
- Manage filing system
- Handle all expense claims and records
- Handle purchase requisition and payment
- Manage booking of meeting rooms
- Any ad-hoc duties

**Key Requirements**
- Preferably Diploma or “A” levels with minimum 2 years of experience in secretarial and administrative duties
- Excellent computer skills (M365 - Word, Excel, PowerPoint, Outlook, communication platforms)
- Strong written and verbal communication skills
- A positive and ‘Can-Do’ attitude and good teamwork spirit
- Able to multi-task with the ability to prioritise tasks and meet deadlines
- Resourceful and adaptable with strong problem solving skills
- High level of attention to details
- Demonstrate discretion in dealing with confidential information in all aspects of work
