
Administrative Assistant

The administrative support person will be responsible for the general administration of the office operations to include supplies management, expense reporting, accounts payable and accounts receivable preparation, general account control and analysis, petty cash reconciliation. This individual responds to a wide variety of customer’s inquiries which may include requests for pricing, preparing quotations, processing orders, providing order status, expediting orders, requests for literature.
**Essential Functions**
- General Office Maintenance and Administration - General office functions will include organizing office operations and procedures, lead generation support, performing administrative and clerical functions, controlling correspondence, designing filing systems, ordering supplies, maintaining office equipment, greeting visitors, answering the telephone, transferring calls and recording messages.
- General Accounting and Financial Administration - Administrative Support will perform general accounting functions in coordination with Corporate Headquarters personnel by preparing accounts payable and accounts receivable transactions for back-office processing, monitoring local expenses, as well as, performing miscellaneous closing and reporting functions.

- Support the operations team, dealing with suppliers and customers
**Knowledge, Skills, and Abilities**
- Attention to detail
- Good working knowledge of word processing, spreadsheet programs, file and record management, as well as, other office procedures
- Basic bookkeeping and financial skills
- Active listening skills - giving full attention to what other people are saying, taking time to understand the points being made and asking clarifying questions as appropriate

**Minimum Qualifications**
- Experience with Microsoft Office Suite
- Stable career history
