Executive, Group Administration (Mailroom)

**Responsibilities**
- Ensuring mailroom operations are prompt & effective distribution of incoming mail packages & courier/franking/posting mails and all other mail operations duties - Sorting, Record-Keeping, and Coordinating.
- Performing external dispatch from time to time
- Managing subscriptions, and delivering local & foreign newspapers, periodicals, magazines, etc.
- Tender & RFQ Process - record & receive tender documents, arranging for admin rep in the tender opening.
- Negotiating best rates, reviewing and awarding contracts for handling mail - Fedex, DHL, etc.
- Ensure efficient record-keeping daily.
- Process-related cost charging & invoices for 20 entities.
- Tracking of budget & expenses to maintain cost efficiency
- Manage to disperse of corporate passes (zoo, bird park, etc.)
- Raising of approval papers - PRs / PVs / when required
- Running reports for analysis; budget monitoring; process reviews & control etc.
- Ability to support multiple site mailroom as and when required
- Access card programming and processing
- Any other ad-hoc duties as and when required

**Requirements**:

- Minimum GCE 'A' level, or equivalent.
- At least 2 years of relevant experience, preferably with mailroom and admin support experience.
- Knowledge of SAP will be advantageous.
- Meticulous, well-organized, and self-motivated.
- Good communication and strong follow-up skills.
- Proficient in Microsoft Office (Excel, Word, and Outlook)
