- We are now looking for an Administration Coordinator in Singapore who is responsible for:
- Office maintainence & administration work
- Office EHS work
- Provide support to P&P APAC management team
- Provide support to HR & Finance function

Main responsibilities:
Office maintainence & administration work
- Manage and ensure all administrative & front desk work are delivered efficiently which include but not limited to the following:
- Deliver customer service to all visitors/callers in the most professional manner, reflecting the excellent company culture.
- Handle incoming and outgoing correspondences in a timely way, including phone calls, letters, documents, newspapers, faxes, letters, etc., and maintain the proper records.
- Organize cleaning and security of the office.
- Ensure sufficient supply of stationary, office facility maintenance and other daily necessities for the office.
- Ensure the safety stock of consumption goods and maintain the record.
- Ensure the front desk is well-maintained and demonstrate good company image and branding
- Complete administrative work including:

- business cards ordering for colleagues
- travel/accommodation arrangement for colleagues and visitors whenever necessary.
- visa arrangements globally for Singapore employees
- arrangement meetings/working meals for business
- monthly or quarterly billing/payment of mail delivery, stationary, flowers/plants, facility maintenance, office building management related expense, etc.
- support staff activities organized by the company and take the lead as and when needed.
- purchase and distribute office personal hygiene necessities such as mask, sanitizer, tissue, etc
- perform other related duties as and required.

Implement and maintain the requirements of the company’s Office Environment Health and Safety (EHS) Standard for the company’s Singapore Office
- Ensure all people entering the office understand the Singapore office rules
- The control of people entering and exiting the Singapore office from a security stand point
- Establish an office emergency response procedure which includes how to safely evacuate the office and building in case of an emergency. Coordinate company’s People to participate in any emergency drills organized by the building management
- List all emergency equipment, in the office and ensure they are routinely maintained. This includes for example fire extinguishers, emergency lighting, smoke/fire detector, and sprinklers
- Coordinate and participate in first aid training
- Maintain a full first aid kit for the Singapore office
- List and maintain Singapore EHS legal requirements applicable to the Singapore office, and if required coordinate the visit and act as a contact point for any Singapore government officials such as Fire, Police, Health and Environment
- Work with people in the Singapore office to maintain a high degree of house keeping so as to prevent all types EHS incidents, Near Misses, Hazardous Conditions / Activities from occurring. This includes conducting routine inspections
- Work with people to ensure all EHS incidents Near Misses, Hazardous Conditions / Activities that occur with in the Singapore office are reported into Synergi
- Act as a focal point contractors carrying out work in the Singapore Office. This includes the EHS control of contractor work
- Work with people in the office to promote sustainable environmental practices. This includes segregating of waste, minimization of printing, reduction electricity use, and that no water taps are left dripping
- Handle all administrative work on pandemic prevention / control (i.e.: sanitizer and mask purchasing & distribution, etc.)
- Act as a focal point for Global EHSQ to communicate with regards implementing and maintaining all relevant EHS procedures

Provide support to P&P APAC management team
- Support the P&P management team with routine work, including administrative job, meeting materials pre
