**Responsibilities**:

- Responsible for the manning of our Service & Repair Reception
- Assist walk-in customers with the checking-in of items to be repaired
- Answer phone, online, offline basic enquiries on repairs and servicing
- Issuing the acknowledgement Service Order documents with itemised list of repair services and prices
- Maintaining and updating the list of instruments which are currently under repair
- Transfer and pack instruments to be sent to and back from the workshop
- Liaising with technicians on customer repair requirements and ensuring common spare parts are readily available, through regular orders from suppliers
- Informing customers of repair outcomes and collection of their items
- Issuing of invoices and collection of payment for repair work done
- Arranging, delivery and collection of instruments for cases where walk-in servicing is not applicable (bulky or big quantity items)

**Reporting & Inventory**
- Reporting of issues to suppliers (defective / missing items, etc)
- Ensure proper follow-up on claims and spare parts replacements by maintaining and updating the list of pending cases with suppliers
- Creation of spare part order documents (Purchase Requisition, Purchase Order)
- Creation of spare part SKUs with price and landed costings
- Maintain a regularly updated inventory list of spare parts, and ensure proper forecasts of parts to be ordered
- Always striving to improve processes and the customer experience, through innovation and feedback.

**Requirements**:

- Degree or Diploma in any discipline
- Outgoing personality who enjoys interacting with people
- At least 2 years of working experience in an administrative position, with a proven track record of strong administrative skills
- Experience in purchasing will be an advantage
- Experience and knowledge of musical instruments or electronics will be an advantage.
- Meticulous, with strong customer-service and people skills, and a good team player
- Proficient in Microsoft Office / Google Cloud Applications
- Able to work on Saturdays
