**Responsibilities**
- Prepare and submit purchase contracts, sales contracts, proforma invoices, etc. to suppliers and customers in a timely manner.
- Liaise and coordinate with overseas vendors/customers, freight forwarders, carriers, and third-party logistics.
- Settle for shipment ETA, booking, and confirmation on direct shipments.
- Prepare shipping documents for the import and export process flow.
- Adhere to shipping/receiving and regulatory-compliance procedures.
- Complete documentation such as invoicing, work orders, and shipping orders.
- Monitor and follow up with suppliers/customers to ensure on-time and accurate shipping documents submission.
- Request and negotiate freight quotations with forwarders.
- Contact carrier representatives to plan and issue shipping instructions and delivery of materials.
- Arrange SFA inspections and/or fumigation for import shipments.
- Document and escalate any customer service issues and/or shipping/receiving errors.
- Manage products for export/import.
- Create new item codes in the ERP system according to supplier's product specifications.
- Check COA/specifications and approve and acknowledge them.
- Ensure billable/reimbursement of costs to suppliers/customers are issued with a debit note.
- Rectify problems and coordinate with suppliers/carriers on damages either on products/container, shortages, and non-conformance to specifications/certificate of analysis from incoming shipments.
- Check Supplier/Customer/Forwarder/Courier/3rd Party Logistics Invoices and ensure that they are correct and tallied before handing over to the Accounts Department.
- Update daily shipping report, fumigation report, SFA, CCP reports, Malaysia Direct shipment FCL trucking report and weekly submission of updated reports to the Logistics and Accounts Team.
- Submit monthly marine insurance report to the Accounts Department.
- Assist with training new employees on import shipments.
- Ensure proper upkeep of the documentation system.
- Dispatch original export direct shipping documents to customers and ensure that customers receive the document on time for clearance.
- Acquire in-depth knowledge of current operational procedures and take steps for improvement and cost savings.
- Develop constructive and cooperative working relationships with those in the team as well as cross-functionally.

**Other Duties - Inventory**
- Attend to Inventory Queries as a back-up and printing of barcode labels, assisting with sample packing and all inventory related matters.
- Assisting in the warehouse to verify on the incoming and outgoing items, buffer stocks etc.
- Scanning of inventory into ERP system
- Arranging dispatch of samples upon request to both suppliers / customers.
- Preparation of samples for MD’s overseas trips.
- Checking of freight rates with relevant courier services.

**Requirement**
- Must be motivated, self-starter and able to multi-task.
- Experienced in processing import shipments and documentation for F&B products.
- Familiar with import /direct shipments, incoterms and documentation coordination preferred.
