**Job Title **Associate/Specialist
**Job Purpose and Content**
The administrator will support the day-to-day administrative operation of the EHS Department
for Singapore, Malaysia and Philippines including the following:
- Provide training and administration support on all training related matters i.e., create training
plan, schedule training, enrolment, scheduling class times, training room bookings, locations
and sending of training invite to all trainees and ensuring instructors and related resources
are available
- Liaise with internal stakeholders (including contractors) on all training related matters
- Liaise with 3rd parties training providers on all external training related matters i.e., training
schedule/enrolment, sourcing for training courses, issuance of PR/PO, invoicing, etc.
- Support in managing and maintaining department expenditures i.e., training
budget/forecast, department general expenses and preparation of monthly expenditure
reports
- Periodically evaluate ongoing programs to reflect the current trend or requirements
- Assist with training materials development
- Support in managing and maintaining resource library i.e., training presentation materials,
web-based training material, training videos, etc.
- Perform training administration duties such as updating and maintain of training records,
training completion monitoring, preparation of training reports, updating and management
of course evaluation results, etc.
- Provide support on company and department outreach activities and promotional
programmes
- Manage department web-portal, shared drive folders, filing and documentation system,
standardization of documents formats, etc.
- Other duties as assigned in support of the department and company operations
**Qualification & Requirements**
- Diploma in Business Studies/Engineering or its equivalent with at least 2 years of related
experience
- Prior experience in training management preferred
- Proficient in Microsoft Office Applications (excellent in Microsoft Excel)
- Ability to simplify and convey complex information
- Strong communication and good interpersonal skills
- A meticulous, organized, and resourceful team player
- Highly motivated and able to work independently with mínimal supervision
