**Job description of Events and Engagement Deputy Head
**Key Responsibilities**
As part of the Events and Engagement team, you will work closely with all key stakeholders in the following areas:
**Event and Conference Management**
- Plan, monitor and update events and conference P&L
- Plan, monitor and ensure timely execution of pre-event work with event organiser and internal project team
- Manage, monitor and review programmes as well as initiate, execute and track KPIs of initiatives
- Source for event organisers
- Prepare and send RFP to shortlisted event organisers
- Work with relevant committee on speaker leads, liaise and manage speakers
- Manage GOH liaison and admin briefing
- Co-ordinate dry run for speakers and emcees
- On-site co-ordination with event organizer
- Post event evaluation and attendance check / marking
- Evaluate the effectiveness of existing processes and strategies to continually improve event planning and management outcomes
- Provide support such as processing claims, and drive communication and outreach efforts.
- Maintain proper and accurate database records and documentation
**Sponsorship Management**
- Work with conference committee on sponsorship leads
- Send invitations to current and new sponsors
- Follow up on sponsorship entitlements with sponsors with internal and external stakeholders
- Work with internal stakeholders for sponsorship deliverables
**Committee Management**
- Organise and manage end-to-end committee meetings
- Prepare meeting minutes on a timely basis
- Draft and circulate conference committee minutes
- Support various Special Interest Groups through development and implementation of programmes and events as determined by stakeholders
**Community Manager**
- Engage member with an end goal of building micro communities among the members (e.g. startup network members, art network, etc)
- Develop ways to engage members within networks
**Communications & Outreach**
- Develop event/programme communication plans to deliver key messages
- Work with marketing team on marketing materials to promote initiatives, programmes and events to ensure registrations
- Assist with creation of social media marketing content and newsletters
**Any adhoc duties assigned
**Requirements**:
- Minimum 10 years of events/hospitality/MICE industry with proven record in the planning, organisation and execution of small and large scale events.
- Passionate individual with good communication and presentation skills who is able to engage stakeholders and teams effectively to drive results
- Able to work under pressure
- Proficient in all aspects of contract negotiation, site and venue selection, event logistic, programming, volunteers’ management, crowd control planning, risk management and preparation of tender documents
- Tech savvy and able to work with in-house software
- Customer centric and loves to engage with people to build relationships and communities.
Remuneration is dependent on the level of experience
