Nanyang Business School (NBS) competes with top business schools worldwide to attract graduate students from diverse backgrounds to join its graduate programmes. The Graduate Studies Career Development Office (“GSCDO”) is an instrumental part of NBS’s Graduate Studies division and aims to develop post graduate students into career-savvy professionals in their ideal jobs.

The position holder will be part of the GSCDO team and is responsible for providing end-to-end administrative support for GSCDO and ensuring the smooth functioning of daily operations within the department.

Responsibilities:
Management of postings in career system for students
- Perform timely posting of jobs/ internships in career system, and track status of all postings for follow-up;
- Maintain an updated tracking file for Internship Module and ensure accuracy of information at all times;
- For internships: Prepare internship support letter, and seek feedback/ evaluation from students and employers at completion of internship.

Stakeholder and vendor management
- Manage and engage multiple stakeholders (employers, students, alumni, staff) to ensure smooth delivery of operations for GSCDO;
- Manage vendors to ensure smooth and timely delivery of products and services.

Event planning and logístical support
- Pre-event: provide input in drawing up event collaterals, secure venues, procure appropriate food & beverages, process Pos, etc;
- During event: set up event venue, manage event flow, take attendance;
- Post-event: consolidate event feedback and process invoices and payments.

Finance and procurement support
- Ensure all spending are in accordance with NTU policies and guidelines;
- Ensure proper filing and accounting of revenue and expenditure for periodic financial reporting;
- Assist with purchases in accordance with NTU procurement policies and guidelines.

Others
- Assist with managing GSCDO documents and records, according to provisions of PDPA;
- Record minutes of meetings;
- Any other duties as assigned.

Requirements:

- Degree/Diploma in Business or related field
- At least three years of work experience in education sector or in an administrative role
- Good understanding of procurement and familiar with use of procurement systems
- Good communication and stakeholder management skills
- Proficient in MS Office and familiar with management of information systems/ databases
- Social media expertise is an advantage
- Team player who can work under pressure
- Meticulous, detail oriented and able to problem-solve
- Service-oriented and enjoys interacting with students, faculty and staff
