Singapore OQ TRADING (SINGAPORE) PTE. LTD. Full time

Based in Singapore, the Adminstrative Assistant will be part of the Admin Team of the company, reporting directly to the Administrative Manager. The main responsibilities of the Administrative Assistant are detailed below:

- Answer telephone, screen and direct calls
- Take and relay messages
- Provide information to callers
- Greet persons entering organization
- Direct persons to correct destination
- Deal with queries from the public and customers
- Ensures knowledge of staff movements in and out of organization
- General administrative and clerical support
- Prepare letters and documents
- Receive and sort mail and delivery
- Schedule and organize appointments, meetings, conferences and events
- Arrange for local and overseas courier
- Tidy and maintain reception and pantry area
- Inventory and order materials, supplies and services
- Complete and mail bills, contracts, policies, invoices, or cheques
- Operate office machines, such as photocopiers and scanners, facsimile, and personal computers
- Maintain and update filing, inventory, mailing and database systems, either manually or using computer
- Open, sort and route incoming mail, answer correspondence, and prepare outgoing mail
- Deliver messages and run errands
- Liaising with company insurance agent and employees on submission of claims
- Supporting Regional offices and affiliated companies on all administrative matters related to meetings, events, and conferences or ad-hoc tasks.
- Supporting Accounts Team in Dubai with Month End Closing by ensuring all invoices are accrued for and booked into the Diva system
- Supporting Compliance and HR Department on various matters related to Singapore office
- Assisting the Administrative Manager on various ad-hoc duties
- Provide coverage for team member of the Admin department
