
HR Admin Assistant

This is a 6 months contract role and it is renewable up to 12 months.
**Responsibilities**:
- Assist in organising Club's general meetings (AGM & EOGM).
- Upkeep the master file for all contracts and licenses for the whole Club. Monitor and remind HODs periodically on the expiry dates of all contracts and licenses.
- Update staff phone directory.
- Handles insurance matters pertaining to renewal and claims.
- Carries out stock take on sundry stock (eg: club ties, staff handbook, etc).
- Arrange yearly x-rays and health screening. Organize health talks and wellness programme on Staff Wellness Day. Help to seek yearly sponsorship of prizes for staff.
- Post Bi-monthly birthdays of staff before beginning of the month. Issue Monthly Staff Birthday Vouchers to confirmed staff beginning of the month. Replenish vouchers when stocks are low.
- Order beverages and biscuits for Admin Office & Staff Cafetaria.
- Regularly check that the staff rest area, lockers and Staff Cafetaria are in good condition.
- Update compliments and staff suggestions and broadcast to staff.
- E-file all original Club Contracts in HR Shared Folder.
- File the original Club Contracts in the respective Departmental’s Contract Files.
- Update the Contract Summary and broadcast quarterly to all HODs.
- E-file all original soft copy of ISO Manual in HR Shared Folder.
- Consolidate the staff duty roster and overtime claims.
- Printing of monthly time clock reports and checking of staff lateness records.
- Conducts orientation program for new staff.
- Organise staff outings, recreation activities and Staff Dinner & Dance.
- Issuance and collection of staff items upon onboarding and offboarding.
- Responsible for creation of new user in the attendance device.
- Collate information relating to staff training and arranges for staff who are attending external courses and internal staff trainings.
- Handles leave matters (annual, medical, etc) and prepare monthly leave report.
- Compiles medical expenses and prepares monthly report.
- Assists in daily opening of mails/letters for the department.
- In the absence of Office Assistant, handles posting of mails.
- Assists in Club's projects and functions.
- Any other duties as assigned by the HR Manager or General Manager.
**Requirements**:
- Certificate/Diploma in Human Resource/Admin or equivalent.
- Relevant working experience.
- Excellent time management and team player.
- Positive attitude.
- Possess effective organisational and follow-up skills, paying attention to details.
- Good interpersonal skills and able to interact with all levels, internally and externally, in a professional and responsive manner.
