**Job Description**:
**SUMMARY**
This position performs duties of varied secretarial and administrative support nature in the Engineering department of the Hotel. This position has a high degree of responsibility for complex duties that may be broad and varied or narrow and focused, and those associated with engineering-related activities, including handling substantive secretarial and administrative details.
**ESSENTIAL DUTIES AND RESPONSIBILITIES **include the following. Other duties may be assigned.
- Develop, prepare and/or compose memos and correspondence requiring research and exercise of judgment and discretion; routinely writes, edits, and submits materials for internal and external communications.
- To keep up-to-date Engineering Division files and maintain an effective filing system and to maintain and keep an up-to date list of all Engineering Division files.
- General typing and filings.
- Handle and record complaints calls.
- Format forms and signage using PC.
- Prepare Engineering monthly reports for Director of Facilities.
- Record meeting schedules and keep Director of Facilities informed.
- Make appointments and book meeting rooms for Engineering meeting with Consultants, Contractors, etc.
- Prepare Engineering Monthly Utilities Reports.
- Assists Director of Facilities to prepare the necessary signages, posters for the Fire Evacuation Drill Exercise with Staff and Guests.
- Prepare Purchase Requisition for Engineering contracts, spare parts, materials and Project work.
- Update the Engineering budget balance, summary and file.
- Administrative of casual labors and part timers for approval when required.
- Projects filing. Prepare and justify project work claims. This processes involve the project LOA on payment terms and condition. Check and balance on project payout and compliance before sending to office for signatures.
- Co-ordinate all Projects administrative (example preparation of Owner letter’s, filling out of forms with owner details, etc.) and submission with payment including reimbursement fees to authorities with consultants firm.
- Administrative to all Engineering/Facilities contracts on timeline, expiry dates and renewal.
- Assist DOF/DOE on the renewal of statutory certifications such as annual fire certificate, etc.
**QUALIFICATIONS**
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
**EDUCATION and/or EXPERIENCE**
Completion of GCE ‘N’ or GCE ‘O’; or at least three years related experience and/or training; or equivalent combination of education and experience.
**SKILLS & ABILITIES**
- Computer word processing and/or spreadsheet education/experience specifically with Microsoft Word, Excel, PowerPoint and Access software.
- Demonstrated skills in setting up and maintaining alpha, numerical and chronological filing systems.
- Experience coordinating the work of others is required.
- Demonstrated ability to take shorthand or speedwriting at least 60 wpm and/or transcribe accurately from Dictaphone may be required
- Demonstrated positive interpersonal skills.
- Demonstrated skills in telephone communications.
- Good knowledge of rules of effective business English usage, spelling, punctuation, and grammar.
