LANDLORD LIAISON AND RELATIONSHIP BUILDING
- Contact point for Landlords
- Build strong rapport and positive relationships with Landlords so as to put the Group on the top mind recall for store opportunities
- Assist the various business units to liaise with Landlords on all matters including securing better brand exposure within the mall like in-mall posters and exterior mall signages
- Arrange and attend meetings with developers/landlords regarding leasing, projects and any other related issues
- Coordinate between Landlord and Projects department for renovation, expansion and reinstatement works
LEASING OPPORTUNITIES
- Constantly sourcing for new retail space opportunities in new or existing premises to maximize and expand brand exposure in prime locations
- Sharing with Landlords the company plans at the appropriate time
- Keeping Landlords posted of any new developments / brands
LEASE RENEWAL AND MANAGEMENT
- Negotiate leases for new, renewal and expansion cases
- Negotiate terms on behalf of company like rental rate, lease term, handover conditions, etc.
- Follow-through from negotiation to the completion of all documentation like Letter of Offer, Tenancy Agreement and Side Letters, if any
- Review and ensure the terms in documentation are consistent with negotiation and also negotiate tenancy clauses with the landlord in the best interest of the company
- Work closely with the company lawyer on the review of all terms and conditions in all documentation
PREMISES / ON-SITE MATTERS
- Ensure proper handover of site in accordance to the conditions agreed between parties
- Follow-up with proper documentation to postpone takeover of sites if handover conditions are not satisfactory
- Ensure satisfactory handover of premises upon termination of lease to avoid unnecessary charges from Landlord
PROMOTIONAL / OFF-SITE EVENTS
- Secure promotional sites for the Group such as Singapore Expo and event/atrium spaces within shopping malls, including those malls which the Group is not represented
- Negotiate on behalf of the business units the requirements, etc for set-up, tear-down and during the events
- Negotiate special terms and contracts for these sites
- Follow-through from negotiation to the completion of contract for these events/sites
- Review and ensure the terms in documentation are consistent with negotiation
- Arrange and attend meetings with landlords together with the respective business units for these events/sites
OFFICE / WAREHOUSE
- Involve in the planning of new office layout plan and execution of office relocation
- Ensure the smooth transition of office/warehouse move to new premises
- Negotiate terms for office/warehouse leases
- Follow-through from negotiation to the completion of lease documentation
- Review and ensure the terms in documentation are consistent with negotiation
LEGAL MATTERS
- Obtain legal advise from company lawyer on the implications of any legal clauses/issues
- Resolve any matters in the best interest of the company
- Liaise with company lawyer in respect of all legal documentation such as Letter of Offer, Tenancy Agreement, Side Letter, Corporate Guarantee, etc
OTHER RELATED MATTERS
- Assist the company to obtain rebates like rent and property tax rebates from Landlord
- Compilation of market information and market developments like shopping mall details
- Landlord factsheet, etc
- Assist all business units on any queries on the leases, etc
- Research and provide any information required for management’s report to Head Office
- Any other ad hoc projects
ADMINISTRATION
- Proper hard copy filing of all documentation
- Proper soft copy filing of all documentation
- Circulate all signed and stamped documentation to Finance
- Block out rental information on these signed and stamped documentation and circulate to Projects
- Keep Marketing department posted of any new premises as well as information of unit number, address etc
- Forward information to the relevant departments for the reference and necessary follow-up
- Check all invoicing, obtain approval for payment and prepare Memo to Finance for the preparation of cheque payments to respective parties
- Sending mail by registered post as per tenancy requirements
**Minimum Qualifications and Knowledge**:
Bachelor’s Degree in Real Estate/Business Administration or equivalent.
**Minimum Experience**:
5 to 8 years of relevant experience with Retail Industry.
**Job-Specific Skills**:
Possess business acumen and judgement to plan and accomplish goals.
Proactive, resourceful, able to work under pressure and independently.
Preferably managers specializing in Retail/Property.
