Management Support Executive

**Responsibilities**:
- Coordination: Coordinating various administrative duties, including but not limited to minutes taking, invoicing, data entries, document management, and overseeing goods flow.
- Office Operations: Assisting with day-to-day office operations, ensuring smooth check-in/out processes, and managing room transfers.
- Liaison: Liaising with departments such as Marketing and Procurement on residents’ matters, service requests, and purchase orders.
- Compliance: Ensuring that the dormitory complies with all relevant regulations and standards, including health, safety, and fire safety regulations.
- Inventory Management: Keeping track of supplies and equipment, and ensuring that inventory levels are maintained.
- Resident Support: Assisting residents with their needs and addressing any complaints or concerns they may have.
- Maintenance: Conducting regular checks on the dormitory facilities to ensure they are in good condition and addressing any maintenance issues promptly.
- Data Management: Key liaison with the Marketing Team on all residents’ data, room allocation for new residents and ensuring prompt update on the residents’ data on check-ins, check-outs, replacements and transfers.
- Data Reporting: Ensure timely reporting of residents’ data to relevant stakeholders and the Management.
- Accounts Payable: Handling accounts payable functions and managing invoices. Facilitate billing to clients on resident-related matters such as infringements, additional appliances and maintenance in rooms.
- Health and Safety: Implementing and monitoring health and safety protocols to ensure a safe living environment for residents.
- Training and Development: Participating in training programmes to develop management skills and knowledge of dormitory operations.
- Event Management: Assisting the organisation and facilitation of social and educational events to encourage resident engagement.
- Any other tasks or duties as assigned by the Supervisor/Management.
**Requirements**:
- **Degree **or minimum **Diploma**:
- Proficient in English (spoken and written)
- Good organizational skills and meticulous
- Good communication skill
- Able to multi-task and work in fast-paced environment
