- The jobholder is reporting to the Trading Operations Manager - Petrochemicals - of the Singapore Office, and works in liaison with the trading operations in Singapore and Dubai, together with the credit officers based in Singapore and in Geneva, under the local supervision of the Trading Operations General Manager of Singapore office.**Job Dimensions**
Jobholder will take part of the workload of operations for all grades ( Crude, Petroleum Products, LPG, BioFuels and Petrochemicals), on BL endorsements, documents dispatch under open credit and though letter of credit guarantee; and administrative supports related to the invoicing and the payments follow up, including involvement in the inspections and storages invoices payment processes. A support can also be given in the collection of Insurance certificates. Documents archiving.**Activities**
- Receiving documents, tracking them if necessary. Recording date of receipt in ETRM (Energy Trade Risk Management) software “Medissys”.
- Categorizing incoming faxes and tenders in INCA system.
- Preparing documents for presentation to banks or counterparties. Recording date of sending in ETRM software “Medissys”.
- Upon approval by Credit Manager/Officer, generating payment for TTA banking costs, and eventually for TOTSA banking costs to hand over to Geneva treasury for payment.
- Upon approval by Operators generating payment for inspection / storage costs.
- Upon approval by Operators, if the estimates are already entered in Medissys by the operator in charge of the storage, generating payment for storage costs.
- Eventually helping operators on stocks reconciliation.
- Helping in preparation / collection of Insurance certificate with TTA Insurance broker.
- Preparing, scanning and sending the documents needed by demurrage department in Paris.
- Following up the old unpaid lists sent by treasury, and be an efficient help to operators to prompt customers to answer our reminders.
- Analyzing, in liaison with accounting, and with the help of operators, suppliers and customers overdue accounts.
- Calculating possible recoverable late payment interests and offer operators help to do this.
- If requested by any operator or operations manager, daily watching some Medissys reporting screens to help the operators.
- Suggesting any improvement to obtain better efficiency and achieve above jobs, including Digitalised mindset.
- Guaranteeing a satisfactory management of archiving the physical docs + E-filling both for TTA and local TotalEnergies SA (TOTSA)

- Help obtaining funds in due time, and recover long over dues
- Reducing lists of over dues to inspection companies

- Usage of Digital/IT tools and TotalEnergies ETRM Software
- Bachelor’s degree, preferably in Business, Mathematics, Logistics/Supply Chain, Maritime Studies or similar fields
- 2 to 3 years professional background in the field would be a plus
- Rigorous, reactive, team spirit, showing initiative, commercially minded, receptive, curious
- A digital mindset and the ability to acquire new digital skills is mandatory
