**Primary Purpose of the Position**

The Settlements Team Lead is responsible for leading the settlements team to deliver efficient, accurate and timely processing of
invoices related to all Trading and Shipping activities.

**Critical Accountabilities & Outcomes**

**Settlements**
- Manage and oversee provisional and final invoicing of commodities, freight, ancillary costs as well as intercompany
- transactions with accuracy and timeliness.
- Provide support on routine reports, checks and reviews relating to Ampol’s transactional activities.
- Coordinate the New Counterparty and New Vendors on boarding process, being the interface between external
- parties and internal compliance teams.
- Coordinate payment related processes including Letters of Assignment and Letters of Indemnity.

**Governance**
- Ensure Trading System Reports are accurate and up to date daily.
- Identify, initiate, manage and/or support improvement of financial systems, processes, to meet business
- requirements and drive efficiencies within Finance.
- Analyse new or changed business processes and determine required settlement processes, procedures and controls and implement.
- Maintain the Supplier Quality Database, robust payables and receivables tracking reports and manage standard
- recurring rates in databases.

**Leadership, People and Culture**
- Lead the settlements team to perform back-office functions required to reflect Commodity Trading and Shipping
- transactions and other relevant operating activities in Ampol financial systems.
- Build and maintain effective relationships with key stakeholders across Ampol companies and external parties.
- Conduct regular performance review of direct reports against agreed objectives and identify their development needs and career progression.

**Key stakeholders and relationships of the role**
- Operations - ensure due approvals and appropriate instructions are received prior to processing commodity invoices
- Finance and Tax - ensure costs and revenue fee types are captured accurately and timely with appropriate treatment of GST where applicable.
- Legal and Contracts - ensure all invoices are in compliance with underlying contractual terms/agreements
- Chartering & Marine - engage the shipping team to verify prices if there are discrepancies in underlying shipping system and invoices.
- Trading Analysts -- engage the trading team to verify prices/payment terms if there are discrepancies in underlying cargo system and invoices.
- Intercompany Ampol Australia and Z Energy
- ensure timely and accurate communication of information to the intercompany invoice processing teams
- IT Services - engage with Ampol IT Services as required to resolve system issues and continue to improve system capabilities to improve the effectiveness and efficiency of services

**Qualifications**

Tertiary qualifications in a relevant discipline (Finance, economics, others may be considered).

**Experience**
- Experience working in a fast moving/changing environment or in oil trading companies.
- Experience handling commodity and shipping systems
- Settlement experience in oil trading preferred, with some team management exposure

**Knowledge & Skills**
- Clear understanding of contractual terms and conditions (basic Contract law).
- Sound understanding in operations, with preference given to petroleum shipping.
- Competency in basic financial analysis, reconciliations, invoice management.
- Attention to detail with strong problem solving and customer service skills.
- Competent negotiating skills with internal and external parties & strong numeracy and computer skills
