**JULY 2025 - Initial Coordination & Database Preparation for MFT/PPI/CTA/wire&Tube/GIFA&METEC**
**Focus**:
- Assist in compiling and updating lists of potential VIPs, hosted buyers, and delegations.
- Begin research to gather and verify contact details of key industry buyers and trade associations.
- Provide administrative support (formatting invitation letters, organizing past records).
- Begin formal outreach to targeted buyers and delegations for all shows.
**JULY 2025 - Outreach & Follow-ups**
**Focus**:
- Maintain records of responses and special requirements.
- Coordinate with international partners (e.g. reps, associations, travel agents) regarding group delegations.
- Assist in hotel bookings as required.
**AUGUST 2025 - Confirmation & Pre-Event Logistics**
**Focus**:
- Final follow-ups and confirmation of attendee participation.
- Coordinate with project team for VIP badge printing and welcome packs.
- Draft and finalize schedules for VIP registration, lounge management, and delegation and buyer meetings.
- Prepare briefing notes for onsite management of each group.
**SEPTEMBER 2025 - Onsite Support in Bangkok**
**Early September (before departure to Bangkok)**:
- Final prep and coordination for **MFT/PPI/CTA/wire&Tube/GIFA&METEC**:
- Distribute final schedules to internal team.
- Prepare list of VIPs, hosted buyers and delegations
- Prepare welcome letters and personalised itineraries for hosted VIPs and buyers
**During Event Days (all exhibitions)**:
- Issue VIP badges and welcome kits where available
- Manage VIP registration at the VIP lounge.
- Welcome and assist delegations and hosted buyers onsite.
- Support in resolving last-minute issues or changes.
**After Show**
- Assist with the keying in of survey results (exhibitor survey for MFT2025) and evaluation of results
- Assist with the cleaning of database for visitors for MFT2025
