**Executive/Senior Executive, Woodbridge Hospital Charity Fund**
**About the job**
Donors are an empowering source of support for IMH and our patients. Donations received through IMH’s Woodbridge Hospital Charity Fund (WHCF) funds mental health-related programmes and services to support preventive efforts, promote recovery, build resilience and raise mental health awareness.
We are looking for a skilled administrator with a strong passion in mental health to join our team, ensuring proper governance of WHCF as well as assisting in our fundraising efforts. This person will be responsible for both administrative and fund-raising efforts, including Board Secretariat and day-to-day administrative support, managing donor database and outreach, supporting fundraising strategies and events.
In carrying out the various duties, you will be required to work closely with both internal and external stakeholders of various levels.
**Job responsibilities**
- Perform company secretariat function to comply with statutory requirement which includes i) prepare Board meeting agenda and documents ii) write meeting minutes iii) follow up on matters arising from meeting iv) arrange for refreshments and logistics v) liaise with appointed secretariat company vi) charity portal for filing of document vii) sending out meeting invites to various stakeholders etc.
- Follow up and engage with various programme leads on the performance, progress and KPIs.
- Assist in the update and production of annual and donor’s reports yearly.
- Maintain accurate donor records and databases to track donor interactions, contributions, and acknowledgments. This includes overseeing and issuing tax receipts to the donors, updating of donor’s wall and website.
- Assist in policy review to ensure that the Operating Rules and Work Instructions complies with regulatory requirements. This includes reviewing the risk assessment framework.
- Participate in relevant regulatory audits e.g., GIA audit and assist in the closure and follow up of audit findings.
- Provide relevant information for awards submission e.g., Charity Transparency and Corporate Governance Awards.
- Assist in brainstorming, planning and organising of fundraising events, activities, and initiatives to raise funds and increase donor engagement.
- Provide support in relationship building with donors, corporate sponsors, and community partners, including arranging engagement events and activities.
- Collaborate with relevant departments for support as needed (e.g., Corporate Communications for fundraising publicity and production of related marketing collaterals).
**Requirements**:
- A good university degree
- Strong administrative, organisational, time management, multi-tasking and event management skills
- Meticulous with keen eye for details, adaptable, analytical and creative
- Excellent written and verbal communication skills
- Strong networking skills with an outgoing personality
- Relevant experience in healthcare, fundraising, charity fund work, sales, and familiarity with social media marketing would be advantageous
