Wildlings is Singapore’s leading provider of outdoor education and nature play experiences for children aged 12 months to 11 years. Our programs include forest school classes, nature camps, school excursions, events, and themed parties. We operate at our two beautiful nature-based locations. Our small, passionate team is committed to delivering high-quality, meaningful outdoor experiences for children and families.

We are hiring a **part-time Administration & Finance Manager**to oversee and execute essential administrative, financial, HR, and customer service functions that support the daily operations of Wildlings. This is a hands-on, mid-level role suited to someone experienced in small business administration and confident working independently with a primarily international customer base. You will report to the CEO and supervise our full-time customer service and marketing assistant.

**Key Responsibilities**:
**Finance & Procurement**:

- Liaise with external accountants; ensure accurate documentation of unreconciled items
- Generate invoices, quotations, and process payments and refunds
- Use a company credit card to purchase operational items and proactively seek cost savings through vendor comparisons

**Administration & Customer Service**:

- Manage the company inbox and WhatsApp business account
- Provide day-to-day support and supervision to the customer service and marketing assistant
- Cover customer service duties during staff leave
- Draft and maintain standard customer documentation (e.g. terms & conditions)

**HR & Compliance**:

- Maintain staff records and annual leave logs
- Support onboarding of new hires and contractors, including payroll and contracts
- Coordinate and book staff training; deliver internal admin training as needed
- Ensure compliance with relevant regulations (e.g. Fire Safety, PDPA)
- Serve as the company’s Data Protection Officer

**Business Support & Events**:

- Conduct basic analysis of business performance by programme
- Work at all major events (e.g. open days, family events, launches)
- Contribute to improving business processes and administrative systems

**Job Requirements**:
**Essential**:

- Minimum 5 years’ experience in administrative, finance, or business support roles
- Proficiency with cloud-based tools (SharePoint, Google Workspace, Wix)
- Strong customer service and written communication skills
- Experience in small business finance administration (e.g. invoicing, reconciliations)
- Able to supervise staff and work independently

**Desirable**:

- Background in enrichment, education, or recreation-based businesses
- Familiarity with Singapore business compliance (e.g. PDPA, Fire Safety)
- Experience with Xero or similar finance tools
- Comfortable with performance tracking and light data analysis
