**Main purpose of the role**:
Providing administrative support to the IP team.

**Main Duties and Responsibilities**:
All aspects of secretarial duties, including
- Preparation and e-filing of legal documents via IP2SG and WIPO's portal, and attending to formalities including Power of Attorney, notarisation and legalisation
- Attending to client correspondence and enquiries, including preparing fee proposals and estimates
- Providing administrative and secretarial support for the IP team, including tracking and maintaining internal and official deadlines and docketing, maintaining client and case files and records, managing trade mark, patent and design files
- Assisting with financial matters, including invoicing, managing the monthly billing and accounts receivable process, following up on billings, attending to payment of official fees and foreign agents' bills
- Opening and closing of files
- General ad-hoc and administrative tasks as and when required

**Requirements**:

- GCE 'O' Level and above or a secretarial certificate
- Preferably 2 -5 years' experience undertaking secretarial and administrative support work pertaining to intellectual property (IP) rights. Experience in a legal secretary/administrative role would also be considered.
- A good command of the English language, with proficiency in both spoken and written English; proficiency in other languages will be advantageous
- Experience with using document management and electronic billing
- Attention to detail and strong organisational skills
- Good time management and ability to multi-task
- Must be a team player, with good work ethics and attitude, and a willingness to learn
