Reporting to the Head of Singapore Office Management, you will provide a range of administrative and organisational support as part of a highly experienced team.
Your job
- Serve visitors by greeting, welcoming, and directing them appropriately with a positive and helpful attitude
- Navigate new hires and international colleagues to space, policies and amenities of the office
- Help maintain workplace security by issuing, checking and collecting badges, and maintaining visitor logs
- Maintain reception area and all common areas in a clean and tidy manner
- Help with a variety of administrative tasks including coordination with vendors, contractors
- Prepare meeting and training rooms for visitors and internal stakeholders meetings and serve beverages
- Manage meeting room reservations, coordinating all meetings and training room functionalities and assist / guide stakeholders in need of the services
- Coordinate and reconfigure training rooms for workshops and events
- Handle all incoming calls in professional manner and route calls to the appropriate staff, relaying messages when necessary
- Assist colleagues with administrative tasks
- Perform ad-hoc administrative tasks (e.g. take inventory of supplies and restock) as needed
- Sort and distribute mail including postage and recording of all outgoing mail and upkeep inventory
- Arrange courier services for both local and international deliveries
- Provide excellent customer service
- Manage record retention of office files (Visitor registration form, Access card request form, BCP form, All staff records for all new joiners, physical name cards etc.)
- Update SharePoint as it relates to the office space and when possible Facilities pages
- Liaise with building management and security for visitor registration
**Profile**:
- Tertiary Education with 5+ years working experience and proven organizational skills
- Prior experience in a similar role, in a professional environment
- Portray a professional image, and well mannered
- A 'people' person with a service-oriented mindset
- Ability to determine appropriate actions and follow through to completion and mitigate risk
- Flexibility to adapt quickly, including frequent multitasking and reprioritization of work
- Ability to handle a wide variety of activities and confidential matters with discretion
- Excellent interpersonal, written and communication skills - responsiveness to internal customers at all levels of the organization
- Must be highly responsible and able to work independently
- Able to contribute positively as part of a team, helping out with various tasks as required
- This position is not a remote position
