(Main Role)

Technical Assistance for the Technical Superintendents

(Mainly Administrative Work)

aa) invoicing

Assisting in invoicing matters

Printing of invoices

Fill in invoice data into ORCA software and spreadsheets Prepare invoice coversheet for all invoices, fill in the invoice data in the coversheet Circulate invoice to purchaser, SI and management for checking and approval Scanned and saved the invoice into the server to save Submit invoices to accounts for payment.

We are implementing new software, and all data to be inputted in the new system as well.

bb) updating of vessel certificates

Updating of certificates in server, Q88 website and office certificate file

cc) arranging of logistics works

Assisting in logistics arrangements for spare parts, airfreight mostly.

Check with courier company the vessel schedule for the mails to reach.

Prepare proforma invoices and delivery notes for agents, freight forwarding companies, courier companies and for vessels.

File the stamped and signed delivery notes once received from vessel.

dd) Document Filing

Printing, filing and updating of documents. Mainly certificates, service reports and delivery notes.

Both hard copy and soft copy filing

ee) Others

Other duties as assigned by Manager/ Superintendents.
