**Objective
The primary objective is to assist the Reservations Manager to manage the overall direction and operations of the Department whilst ensuring high standards, quality and maximum profitability is aimed for at all times.

Perform all tasks in accordance with the Hotel’s policies and within the departmental standard operating procedures. It is expected that all work to be executed in a manner that exceeds expectations so as to emphasize our need for consistency throughout

**Main Duties
1. Be committed to serving both guests and colleagues ‘from the heart’

2. Update yourself with important information communicated during the daily briefing

3. Be knowledgeable about the Hotel facilities, operating hours and services provided

4. Keep yourself updated continuously on the Hotel’s latest development

5. Adapt to any product knowledge and procedure changes made by Management. To practice at all times once change has been implemented

6. Checking of Next Day’s Arrivals

7. Keep one informed of the available rooms for sale and help maximize room sales by up-selling

8. Attend to all incoming calls with pleasant and polite manner following the SOPs. Acquaint yourself with regular callers and acknowledge them by name

9. Confirm and process the reservations received from telephone calls accordingly to the established procedures. Confirmation numbers to be provided to the customers at time of booking

11. Input reservations received from OTA (On-line Travel Agent) into the in-house system (PMS)

12. Update details in the PMS for all bookings that are booked by the Central Reservations System (2-way interface). Be familiar with all the various rates, packages and programs booked on

13. Prepare the special requests for guests’ amenities (for example; fruit plates, boxes of chocolates, wine) to the Room Service Department daily

14. Check next day arrivals from all OTAs to ensure that the bookings are in order. Follow through if there are any discrepancies

15. Guard and treat the company assets with care and responsibility

16. Print various relevant reports at end of day

17. In the Tour Manager’s absence, assist in clearing the administrative work

18. Assist the Reservations Manager when requested

19. Comply with the Hotel’s policies and procedures
