The Plans and Governance Department is a newly created department to support the implementation of Corporate Services strategic initiatives, ensure effective governance in the management of the School’s risks, as well as coordinate health and safety matters. As a member of the Plans and Governance department, the incumbent is expected to contribute to the overall purpose of the department - to drive strategy implementation for Corporate Services as well as ensure effective governance is in place. The incumbent will be supporting the Head of the Plans and Governance department to coordinate and manage activities relating to the School’s corporate strategic plan and risk register.
**Responsibilities**:
Work closely with Head of Plans & Governance to coordinate and manage the School’s strategic plans
- Support development of success indicators for Corporate Services strategic initiatives
- Monitor progress and collate updates on these initiatives to inform Senior Management
Support the development and execution corporate services strategic initiatives
- Provide secretariat support for cross-functional taskforces or working groups, including organising meetings, planning agenda, taking minutes, tracking progress of follow up items
- Conduct desk research and landscape scans for best practices and trends to inform discussions
- Summarise discussions for regular updates to Chief Operating Officer
- The first two working groups would be on Mental Well-being at Work and Green Campaign. If the appointee has suitable working experience, he/she would co-lead the relevant working group with Assistant Director or Head of Plans & Governance.
Organise the School’s management retreat and other strategic engagement activities
- Plan calendar of engagement activities, including Management Retreat, Corporate Services retreat and COO townhalls
- Recommend objectives and programme of CS-level engagement activities
- Liaise with invited speakers and presenters for programme arrangements for Management Retreat, and with attendees on details such as dietary restrictions
- Liaise with external vendors for logístical arrangements, including venue, AV, collaterals, posters
- Manage event budget
- Mobilise team for ad hoc support on day(s) of events
- Complexity of the School’s management retreat may be increased by factors such as stricter safe management measures (with a need to seek government’s approval) or if the retreat were held overseas.
Work closely with Assistant Director, Plans & Governance in maintaining the School’s risk register to identify, assess, mitigate and monitor risks
- Collate inputs and prepare quarterly updates on enterprise risk for Finance & Audit Committee and Audit & Risk Committee
Provide secretariat support for committee and/or department meetings
- Organise, plan agenda and record notes for department meetings
- Support Head of Plans & Governance in logístical details for Audit & Risk Committee meetings
- Alternate recording secretariat for Audit & Risk Committee
**Requirements**:
- A recognised polytechnic diploma/university degree
- At least 3 years of working experience (for degree holders) or 5 years of working experience (for diploma holders)
- Excellent written and verbal communication skills
- Strong interpersonal skills to build influence and communicate effectively across diverse groups
- Great team player who embraces collaboration to achieve the team’s goals and deliverables
- Self-starter with strong sense of initiative and dedication to high standards
- Organised, detail-oriented and has the ability to work with ambiguity
- Keen learner with continuous improvement mindset
This is a 3 years contract appointment.
