Job Summary:
We are seeking a proactive and detail-oriented **Junior Administrative Assistant**to support our Financial Advisory team with day-to-day administrative functions. This role is ideal for someone who is organized, reliable, and eager to learn more about the financial services industry. The Junior Admin will play a vital role in supporting our Wealth Managers by handling client communications, managing records, and assisting with documentation and compliance tasks.

Key Responsibilities:

- Provide high quality administrative support to the Wealth Managers.
- Perform general office administration duties, including mail handling.
- Follow up with Wealth Managers and relevant team members regarding outstanding requirements for both new and existing business cases.
- Maintain and regularly update accurate client files and records.
- Update and manage client data in the NAV system.
- Respond to client inquiries and promptly redirect queries to the appropriate team members.
- Handle administrative inquiries from Wealth Managers and other staff, including account and policy servicing matters.
- Collaborate with Wealth Managers and Wealth Structuring Consultants to ensure client needs are addressed and transactions are processed accurately.
- Distribute relevant marketing materials and provider communications to the appropriate team members in a timely manner.
- Assist the Compliance Manager in ensuring all client interactions and transactions meet regulatory requirements, and escalate high-risk cases as necessary.
- Prepare and deliver weekly, monthly, quarterly, or annual reports in a timely and accurate manner.Perform other administrative tasks and duties as assigned.

Qualifications:

- Previous administrative or office experience is preferred.
- Strong organizational and time management abilities, with the capacity to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and general computer literacy.
- Ability to manage sensitive and confidential information with discretion.
- High attention to detail and accuracy in all work.
- Ability to work independently with mínimal supervision, as well as collaboratively within a team environment.
