**Business Sales Support Executive (Consumer Fragrance / Oral Care), APAC**
Reporting directly to the Senior VP of Consumer Fragrance & Oral Care APAC, the Business Sales Support Executive role involves coordinating APAC activities for both Consumer Fragrances & Oral Care divisions, supporting the Commercial teams. This position will provide comprehensive execution for Business as well as administrative support to ensure smooth regional coordination playing a critical role in managing internal business operations continuity.

**Business & Project Management**
- Prepare monthly APAC business report for Global updates as well as regional updates
- Create standard templates for the countries to ensure efficiency and consistency in reporting
- Be the point of contact of clients (e.g., price requests for certain countries, samples, updates on RM/Formulation/legislation changes, etc.)
- Establish regular updates (e.g. price, submissions, status of projects, global updates, etc.) to ensure a smooth flow of communication
- Build client database for easy access of information at the APAC level
- Work with the countries and legal team on the contracts (e.g., rebates, etc) and ensure proper documentation/summary of yearly payments/monitoring of timely payments
- Coordination of all incoming briefs and projects including post-processing and analyzing:
- Entering new projects in the internal project system and monitor the progress based on the targets and timeline set
- Follow up on business projects with the respective internal parties involved
- Provide internal stakeholder management on key support activities (client base, samples & documentations).
**Samples & Documentation**
- Coordination and handling of all sample requests for client projects and internal activities:
- Initiating and monitoring dispatch of samples
- Tracking of sample shipment until delivery
- Providing proactive communications for all sample related matters
- Request and order required market samples (Benchmark, new wins)
- Leading and coordinating all types of document requests (external/internal):
- Request and create documents via internal Symrise system (SAP) etc
- Liaise with Regulatory steward to create client specific documents for project submissions, claim support, conformity checks etc
- Coordination of regulatory requests and restriction analysis
- Handling and coordination of related customer communication
**Administrative Support**
- Efficiently manage the Senior VP’s scheduling of meetings, appointments, and travel arrangements, prioritizing conflicting commitments to ensure seamless scheduling
- Assist in annual budgeting process and consolidation
- Preparing, formatting, and editing documents using Microsoft Suite (Word, Excel, PowerPoint) to create professional documents and presentations
- Creating flow charts, dashboards, and spreadsheets
- Coordinate team meetings, take minutes, and follow up on action items to ensure timely completion of tasks
- Monitor and update company-wide communication platforms, ensuring accurate and up-to-date information is available to all team members
- Organize and maintain digital and physical files, ensuring easy retrieval of information
- Processing and verifying expense claims, arranging birth/get well baskets/ wreaths and generally following up open items for CF/OC Teams
- Assist in ordering stationery, pantry supplies and on-boarding for new CF/OC staff
- Assist in organizing and coordinating company-wide events, meetings, and conferences
- Assist in receiving guests and coordinating their agenda for onsite site visit
- Perform additional ad-hoc duties as required
- Business degree or equivalent, with a minimum of 8 years of relevant working experience
- Strong organizational and time-management skills, with the ability to prioritize tasks effectively and meet deadlines in a fast-paced environment
- Experience with calendar management and scheduling tools
- Experience working with regional stakeholders across APAC is an added advantage
- Driven and focused, resourceful with strong problem-solving skills, detailed oriented
