DESIGNATION : Personal Assistant, College of Integrative Studies
RESPONSIBILITIES
- Manage all PTAC paperwork including collation of dossiers and solicitation of external letters;
- Faculty annual review paperwork;
- Ensure that all documents requiring Dean’s approval/endorsement are in order and in compliance with SMU & CIS policies;
- Maintain all legal documents signed by the Dean.
- Provide secretarial and admin support to the Dean (including travel logistics and all finance claims).
- Manage scheduling, prioritization & preparation for all meetings involving the Dean;
- Organize the logistics of all the Dean’s initiated meetings (including the regular Board of Advisors meetings).
- Manage the Dean’s individual memberships and school corporate memberships;
- Special projects and new initiatives assigned by the Dean.
- Assist in school-wide events and activities as part of the Deanery.
- Any other administrative and operational tasks as assigned.
QUALIFICATIONS
- Minimum Diploma holder or A-level qualifications with at least 5 years relevant working experience.
- Good command of Mathematics & English.
- Resourceful, confident, organized meticulous and responsible.
- Good analytical & problem solving skills with attention to detail and accuracy.
- Strong communication (both written and spoken) and interpersonal skills.
- Strong follow-up/follow-through of all tasks.
- Highly committed to the team and the school.
