DESIGNATION : Assistant Manager, Facilities & Operations

RESPONSIBILITIES
**Assistant Manager, Facilities & Operations**
The Facilities Operations Department manages Kaplan Singapore’s facilities, infrastructure, and environment optimally to support its strategic plan and continual improvement and growth.

This department will have the overall responsibility for the proper operation and maintenance, efficiency of daily operations, safety, and security of the assets.

**Responsibilities**:
**Assist in Project Management**
- Engage users on premises (office/ classrooms/ others) fit out requirements.
- Assist in the appointment of Qualified Person (QP).
- Work with QPs to develop design briefs for fit out projects.
- Assist in vetting project specifications, and oversee the tender process, including award of tender.
- Liaise with Building Landlords and relevant government agencies where necessary.
- Perform handing and taking over of premises before fit out and completion of project.
- Management of contractors on site to ensure project complete on time and within budget.
- Oversee defects rectification during DLP.
- Conduct post project customer satisfaction survey.

**Assist in Contract Management and Other Administrative Duties**
- Assist the FM team in contract management of outsourced service contracts.
- Establish good vendor management to provide quality service for Kaplan.
- Assist the Director in preparing Management Reports.

**Miscellaneous**:

- Ensure compliance to all building regulatory requirements in general, and CPE’s requirements.
- Perform any other tasks and duties relating to project, facilities, and operations, as assigned by the Director.

QUALIFICATIONS
**Job Requirements**:

- Diploma in Facilities/ Project Management/Engineering or equivalent.
- At least 5 years of experience as a Project Officer.
- Prior experience as a Quantity Surveyor is advantageous.
- Good verbal and written communication skills for use in interfacing with internal and external stakeholders.
- Proficiency in Microsoft Excel, Word, and PowerPoint.
- Experience in Quantity Surveying, Basic Builders, and mechanical and electrical (M&E) services
- Strong interpersonal and relationship management skills, with the ability to work and communicate effectively with different stakeholders at all levels.
