**Role Description**
The Junior Wedding Planner Intern will assist senior planners in various aspects of wedding planning, from client communication and vendor coordination to event logistics and on-site management. Responsibilities include supporting day-to-day tasks, managing timelines, budgets, and design concepts, and providing administrative support. The role also involves contributing to marketing efforts and staying updated on industry trends to enhance the client experience.
**Key Responsibilities**
- Client Communication: Act as a point of contact for clients, responding to inquiries, providing updates, and ensuring all client needs are met promptly and professionally.
- Vendor Coordination: Research and source potential vendors, assist in obtaining quotes, and coordinate logistics with selected vendors for services such as catering, photography, florals, and entertainment.
- Event Logistics: Assist in the logístical planning of weddings, including arranging transportation, accommodations, and any special requirements for the wedding party and guests.
- Budget Management: Help create and manage wedding budgets, track expenses, and ensure that all spending aligns with client expectations.
- Timeline Development: Assist in developing detailed timelines for wedding events, ensuring all activities are scheduled and communicated effectively to clients and vendors.
- On-Site Event Management: Support the senior planner with on-site event management, including overseeing the setup, coordinating with vendors, assisting with guest management, and ensuring the event runs smoothly from start to finish.
- Event Design Assistance: Collaborate with clients and the planning team to develop design concepts and themes, assist in selecting decor, and coordinate the setup of ceremony and reception spaces.
- Administrative Support: Handle administrative duties such as preparing contracts, maintaining event files, updating client databases, and managing RSVPs.
- Site Visits: Conduct site visits with senior planners and clients to assess venues, discuss layout options, and address any logístical concerns.
- Crisis Management: Assist in troubleshooting and resolving any issues that arise during the planning process or on the event day to ensure a seamless experience for clients.
- Post-Event Follow-Up: Help manage post-event tasks such as gathering feedback from clients, sending thank-you notes to vendors, and ensuring all final payments are processed.
- Trend Research: Stay current with wedding and event trends, and bring fresh, creative ideas to the planning process to enhance the overall client experience.
Marketing and Social Media Support: Assist in promoting the company’s services by contributing content to social media channels, blogs, and marketing materials.
**Qualifications**
- Minimally a Diploma in Event Planning, Hospitality, Communications, or a related field, or equivalent experience.
- Previous experience in event planning or customer service is a plus.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work in a fast-paced environment and handle multiple tasks simultaneously.
- Creative problem-solving abilities and a passion for weddings and events.
- Proficiency in Google Suite and familiarity with event planning software.
- Availability to work flexible hours, including weekends and evenings, as required by client and/or wedding schedules.
**Job Types**: Full-time, Internship
Contract length: 6 months
Pay: $800.00 - $2,500.00 per month
