**FRONT DESK ADMINISTRATIVE ASSISTANT (1-Year Renewable Contract)**

**General Information**
**Main function**:General Administration
Provides administrative and facility supports to ensure efficient operation of general office.
**Purpose of the role**:
To assist with the reception functions of meeting and greeting, phone answering, general administrative support to ensure the smooth running of the office.
**Reports to**:Administrative Executive
**Main Accountabilities (not limited to the followings)**:
- Daily housekeeping of meeting rooms and general office areas;
- Meet and Greet - receiving guests, booking and maintaining of meeting rooms;
- Assist to make drinks for guests in the absence of the cleaning / pantry staff;
- Arrange for courier services and distributing of mails;
- **Assist HR in onboarding of new joiners and off boarding of leavers in the event HR is not able to be present;**:
- Assist in full spectrum of office administration including but not limited to facility management such as co-ordinating of facility requirement (e.g., repairs and servicing of lights, pantry appliances, green walls, plants, etc) - ensuring office is well kept;
- Maintaining and ordering of offices/pantry supplies;
- Assist in sourcing of vendors/quotations;
- Arrange hotel bookings when requested;
- Arrange transport services for guests when requested (cabs/pick up service);
- Preparation for trainings/meetings that require logistics arrangement (drinks/meals/table arrangements etc.,);
- Assist with Sea Staff (subsidiary) office visit matters;
- Checking of hotel and transport rates and transferring the information onto excel for comparison;
- Assist with getting the needful stakeholders to do the briefing and block their calendars.
**Job Requirements**:
- GCE ‘N’ / ‘O’ / NITEC in Office support;
- Minimum 2 years of relevant experience;
- Extremely competent in written and spoken English;
- Competency in Microsoft Office (Word/Excel/PowerPoint);
- Ability to multi-task.
**Key Performance Indicators**:
- On time delivery of tasks assigned;
- Good housekeeping of the office;
- Accuracy of work.
**Personal Characteristics**:
- Possess good and mature attitude and is self-motivated and disciplined;
- Ability to work under pressure with tight deadlines at times;
- Good interpersonal and communication skills;
- Cooperative and a good team player;
- Flexible and adaptable to changes positively.
