Job Summary:
The Sales Operations Coordinator [Frozen Food/Seafood] ensures seamless coordination between sales, logistics, and customer service teams to drive efficient order fulfillment and customer satisfaction. This role focuses on managing sales operations, inventory, compliance, and logistics for frozen food/seafood products in Singapore’s dynamic market, adhering to local regulations and cold-chain requirements.
Key Roles and Responsibilities:
1. Sales Support & Order Management
- Prepare invoices, contracts, and shipping documents aligned with customer requirements.
- Generate sales performance reports and analyze data to identify trends.
- Collaborate with the sales team to forecast demand and track targets.
2. Inventory & Warehouse Coordination
- Monitor stock levels of frozen food/seafood products and coordinate replenishment with suppliers.
- Liaise with warehouses to ensure optimal storage conditions (temperature, shelf-life tracking FIFO).
- Conduct periodic audits to verify inventory accuracy and quality compliance.
3. Logistics & Compliance
- Arrange temperature-controlled transportation and manage delivery schedules.
- Ensure compliance with Singapore Food Agency (SFA) regulations, Halal certifications, and customs requirements.
- Prepare export/import documentation (e.g., health certificates, customs declarations).
- Resolve logistics issues (delays, damages) promptly to minimize disruptions.
4. Customer Service & Relationship Management
- Serve as the primary contact for order-related inquiries from B2B clients.
- Address customer complaints and coordinate returns/refunds as needed.
- Maintain strong client relationships through regular communication and updates.
5. Regulatory & Market Compliance
- Stay updated on Singapore’s food safety laws, cold-chain standards, and trade regulations.
- Ensure all operations align with sustainability practices and industry certifications.
6. Cross-Functional Collaboration
- Work with procurement, finance, and marketing teams to streamline processes.
- Support new product launches and promotional campaigns with operational insights.
7. Administrative Duties
- Maintain accurate records of sales, inventory, and customer interactions.
- Assist in budgeting and cost-tracking for logistics and inventory.Qualifications & Skills:
- Education: Certificate/Diploma in Business, Supply Chain, or related field.
- Experience: 1+ years in sales operations, preferably in FMCG/frozen food/seafood sectors.
- Industry Knowledge: Understanding of SFA regulations, cold-chain logistics, and import/export processes.
- Soft Skills: Willing to ask and learn attitude, Good communication, problem-solving, and multitasking abilities.
- Languages: Fluency in English and Mandarin.Working Conditions:
- Environment: Office-based with occasional visits to warehouses/logistics hubs.
- Travel: Minimal local travel for client/team meetings and food exhibitions.
