**Key Responsibilities**
- Organize events / functions (such as Fleet/Dialogue Sessions / Engagement Functions / Briefings / Lunch for new Commanders), liaison with attendees and handling of logistics for attendees and vendors (arrange security clearance)
- Arrange meetings (such as Performance Review Meetings / FODC)
- Prepare and send official documentation such as Appointment Letters / No Pay Leave Letters / Delivery Flight / Crew Appreciation Letters
- Monitoring of probationary crew, tracking cases of extended probation for new confirmation dates, and preparation of Confirmation Letters for New Commanders
- Prepare testimonial letters for crew retirement / resignation and to arrange for exit interviews
- General filing of necessary documentation / meeting minutes relating to Fleet Matters whenever required
- Arrange Duty Travel bookings / hotel / transport
- Extract and verify Crew Flying Hours against crew’s Logbook, liaise with crew for necessary endorsements by Management Pilots
- Manage notifications for Fleet Chief Pilots/VPs (e.g Out of Office) as per CAAS audit requirement
- Manage logistics arising from appointments / de-appointments such as building access, stationery orders, Commanders’ Discretion Report etc.
- Handle matters relating to crew welfare e.g. Fruit baskets, Condolences, Get Well cards
- Handle bookings of facilities for Fleet Management, update and share fleet calendars and arrange for Chief Pilots to chair Ops Meeting every quarterly
- Update of contact details in FORCE handbook for Management pilots
**Required Skills & Qualifications**
- A diploma in any field
- Good interpersonal and communication skills with people at different levels
- Proficient in Microsoft office software
- Analytical and meticulous with attention to detail
- Must be comfortable using IT software
- Able to work independently with mínimal supervision, and take initiatives to spot potential process improvement
- Team Player
- Diligent and receptive to changes
- Self-motivated, with good time management and ability to prioritize work accordingly
- Prior administrative work experience will be an advantage
