The Global Care Officer plays a key role in supporting the Admissions and Sales teams by managing administrative tasks, providing exceptional multilingual customer service, and delivering engaging campus tours. This position ensures a seamless enrolment experience for prospective families while contributing to the overall success of the school’s admissions initiatives. Responsibilities Conduct professional, engaging, and informative campus tours for prospective families. Tailor the tour experience based on the interests and needs of each family. Coordinate tour schedules, ensuring proper preparation and follow-through. Maintain a welcoming, informative, and positive visitor experience throughout each campus interaction. Gather and relay feedback from families after tours to support continuous improvement. Campus Tours & Visitor Experience Conduct professional, engaging, and informative campus tours for prospective families. Tailor the tour experience based on the interests and needs of each family. Gather and relay feedback from families after tours to support continuous improvement. Administrative Support Prepare and manage enrolment documentation, including contracts and forms. Maintain accurate prospective and current student records using CRM systems. Follow up promptly on all inquiries and leads. Customer Engagement Serve as the first point of contact for parent and agent inquiries, providing support in multiple languages when possible. Schedule and manage appointments, tours, meetings, and interviews. Clearly communicate details about academic programs, campus life, and admissions procedures. Collaboration with Admissions & Sales Assist in generating reports and presentations for admissions tracking. Support the design and distribution of marketing and promotional materials. Participate actively in open houses, webinars, school fairs, and recruitment campaigns. Communication & Coordination Liaise with internal departments (academic, finance, admin) to ensure cohesive admissions support. Coordinate with external agents and partners for onboarding and enrolment processes. Performance Tracking Track key performance indicators (KPIs) related to admissions and enrollment. Analyze trends and provide data-driven recommendations for process enhancements. Front Desk & Communication Greet and assist all visitors, parents, staff, and students courteously and professionally. Manage calls, emails, and messages; route them appropriately. Ensure the front desk and reception area are tidy, organized, and welcoming at all times. Administrative & Logistics Support Support student registration and tour-related inquiries. Assist with administrative tasks such as printing documents, distributing forms, and ID card coordination. Manage internal directories, visitor logs, and front desk records. Provide logistical support during school events (e.g., registration, signage, materials management). Coordinate resources and scheduling using platforms such as 3CX, Aircall, and CRM. Attendance management on Student Management Service Excellence & Communication Handle all inquiries with professionalism, empathy, and clarity. Ensure consistent and accurate communication regarding school policies, programs, and events. Collaborate closely with the sales/admissions team to support effective communication with families. Other duties may be assigned by the supervisor as needed. Qualifications Diploma or Degree in Business Administration, Marketing, or a related field. Experience in customer service, administration, or sales (education sector experience preferred). Multilingual proficiency is highly desirable. Competence in Microsoft Office, CRM tools, and communication platforms. Skills & Competencies Excellent verbal and written communication (multilingual capability is a plus). Strong organizational, time management, and multitasking skills. Warm, approachable, and customer-focused demeanor. Analytical mindset for data review and process improvement.
